Make a calendar on page one. Let people put tentative dates of events, particularly the alcoholic events, so that none overlap on the seven sea days. Remember (or don't remember lol) the Champagne Girls getting assigned by Disney on same afternoon as Pub Crawl?
If the "hard ticket" events (like rum/mojito/tequila/mixology tastings and Champagne Girls) can scatter their events and request mid-afternoon, and when organizers email Disney include the overview of "events being submitted by various people in same group", that will help our DCL contact understand the necessity of keeping these events on separate dates. Then Pub Crawl can be scheduled based on when Disney confirms the dates since it's not a hard-ticket event booked with DCL in advance.
I just remembered that we did that last time for the 2011 WBTA. We all chose different times and dates for our DIS events but when DCL come back to you (usually just a few days before the cruise) they will tell you the time it can be fitted in around their own events and it's not always what you asked for.
It's definitely the right way to go but just to warn everyone that some of the things you want to do may clash.
Anyway i'm just rambling but it's something to bare in mind....
