I was wondering if I could book a room with my passholder discount if I won't be in the room. If I go with them at the time of check-in would it be okay? Or do I have to be listed on the reservation for them to be allowed to use this discount?

You can book up to 3 rooms per AP holder as long as the passholder is staying in one of those rooms.

Is that something you'd have to do on the phone? So I currently have a room booked for December and I'm going with friends. They refuse to plan far in advance so they haven't even discussed the hotel situation yet. If I called could I add a second room, but with just them and not necessarily at the same resort? Or would I need to cancel what I have and start from scratch?

IIRC, they would need to be staying at the same resort as the passholder. And the easiest way to make the reservation would be to call so that the reservations show "traveling with" on each of them. You would not need to cancel your original reservation if there is availability for your friends at the same resort.

Passholder rooms do sell out so if they might go, I think you would want to book the room(s) just in case and cancel if they back out. You can cancel a room only reservation up to 5 days prior to travel.

Thank you!

That's a good point. They are definitely going, I'm just not sure where they might want to stay. The hotel we have might be too expensive for them, but since I can cancel if they want something different that's probably the best way to go.

You can cancel and re-book but there are no guarantees that there will be AP discounts available at the resort they choose.

Even though they don't want to plan in advance you could tell them that if they want to take advantage of your AP discount (and because you need to book two rooms) they need to start planning. The longer they wait, the less likely there will be any AP discounted rooms still available. Depending on when in December, rooms will sell out. It's no longer a "slow" time. There's Pop Warner, some nights before Christmas are included in the free dining offer and the very very busy Christmas vacation time.
