What all do I need to be prepared to book during on-line check-in? What info will I need? I will probably be checking in for my entire party of 9. Thanks!

Full names, birth dates, ID info (Passport numbers, or if they're using birth certificate/DL) pre and post cruise travel information (flights, hotel, whatever). Credit card(s) number.

Have everyone’s passport info written down so you can check them off one by one without having to juggle books.

Have the flight numbers for everyone available if necessary

Have CC numbers ready for each stateroom

Determine what types of tastings people in your group are interested in so you can find and book quickly.

Kids club registration information

if your party is arriving at different times, consider what PAT you should select based on that knowledge.

I have mine in a spreadsheet so I can just copy and paste... no reading off a paper.

Not really. You can put all of it into a spreadsheet so you can toggle screens and copy paste, but the window only opens when it opens and nothing is available for data entry until that time. For two people, it goes pretty fast. Multiple staterooms that have max occupancy, could go slower, and I would suggest the CP spreadsheet method for that.
 
In my experience, there is no need to do online checkin before booking activities. As long as you are paid in full, you can book when your window opens. I do book anything important to us when the window opens or the next morning. Online checkin is at my leisure now that we are platinum. Even before that, I booked activities and then did online checkin to obtain the PAT we preferred.
