OK I need to know the "right way" to contact the room controller

Hi everyone

I will be leaving for OKW on May 6 and I would like to know from those of you who already have did this to give me their insights. I already asked for a 2br lock-off smoking room near the HH. I think it was either bldg. 12 or 25. I know that you have to fax the controller and that the number is listed in the handbook. What I would like to know is how far in advance to I send the fax and should I be as specific as possible or what? I probably won't get there until the 3:00 hour as my flight arrives around 1:00 pm.

Any experiences or advice is most welcome.

In addition to putting my requests on my reservation, I have also faxed the room controller with some success, 2 out of 3 times at OKW I got what I requested, the other 1 was close. I made my requests more general and listed an alternate on the fax if the first was not available (example - prefer Turtle Pond, second choice South Point). I faxed on Tuesday for a Saturday arrival.

They started experimenting last year at OKW with assigning rooms at check-in, which makes late arrivals more difficult to get requests. Does anyone know what the current situation is? Are they doing pre-assignments? I'll be arriving May 9, probably not until about 6:00pm.
 
Take a look at this thread: room request question (long), and make sure you read everything on every page posted by DVC Nut, who has "inside information."

The bottom line is that the room assigner goes by what's in the reservation record. If you ask for "2br lock-off smoking room near the HH," the room assigner will do his or her best to honor that request -- and a fax won't really help (except that it will cause more work).

If there isn't an unassigned "2br lock-off smoking room near the HH" left when the room assigner gets to your request, he or she needs to know which of those requests is most important to you. (Does the 2BR need to be a lock-off? Would it be more inconvenient for you to be further from the HH or to have to smoke outside of your room?)

sweetp, Just make sure you have your requests noted in your reservation. Call MS and add them if you haven't already. Basically all you can do is hope the right room/combination of rooms is vacant on the day you arrive. Also hope you booked far enough in advance to have the seniority to get them.

If you don't get your requests...every room is great...do not let it spoil your vacation!
 

I have lost count on how many times I have stayed at OKW. I make my requests when I make my reservation through Member Services. I cannot think of any time my requests were not met.
