I and some relatives will be checking into one of the resorts in a few weeks. We will have seperate rooms. I am thinking of calling CRO soon and explaining the situation and ask to be assigned a room located as near to my relatives as possible. Will they accomodate my request? or should I wait until I check in and ask then?
 
I ran into this at another hotel change when we went to WDW. I was told, and can't imagine that it can be much different at the Poly than anywhere else.

They do not assign rooms until that day. I was told to call early in the morning of check in and speak to the front desk. Tell them your issue and see if they can accomodate you when you check in. That's what I did, made the phone call at 7:30 in the morning. I told them I had a group of 12 in 3 rooms and wanted them to be as close to each other as possible. If not adjacent at least on the same floor. I was surprised to find out they were put 3 in a row in a packed hotel.

You can put the request on both reservations but there are no guarantees that it will be granted. I would add it now, the rooms may already be assigned by the time you check-in.
 
Call them now and make your requests known. They will be able to link all the reservations together which should get your rooms either connecting or at the very least grouped together.

If you wait until check-in the odds are that they will not be able to accomodate your group.
 

I would let them know now to link the reservations. We did this and it has always worked out pretty well. When the first of the group checks in, a notification pops up on the computer and the clerk will start looking for adjoining rooms to accomodate you. No guarantees but we haven't missed yet in over a dozen trips.
 
You should call Disney and ask them to do a "travel with" on both reservations. They will do their best to get you close to each other. The CM's will now what you are talking about when you ask for this.

Yes yes yes. . .do this. . .I did this with a friends ressie this month and we ended up with connecting rooms. . .it was AWESOME. We kept the door open and enjoyed being able to have a "suite". Lots of space and 2 bathrooms. . .lots of fun. . .
