Wow this is so neat to see everything. I can't imagine how much time it takes to actually hostess this, so a big THANKS for doing it.

As I said before I hope the work I did is okay since it is my first swap. I really put a lot of work into it and tried to follow the rules, so hopefully no one will be dissapointed with what I sent in.

I am supposed to be packing but had to check-in. These are great and I hope mine were ok. My toppers are a little different than normal, I hope thats ok. Everyone's looks great, I can't wait to get these.

Actually, I will start to take pics actually tonight and each night this week and then figure out the best way to post them!

I find that if I take the pictures in the order of the packing lists I printed out, it is easier to remember who made what when it comes time to label them in photobucket. If they are labeled with group/swapper it is so much easier to make the slideshows.

How do you make the packing lists - sorted by swapper or groups? I have a few ideas on how to swap it but this one is much bigger than the last one I hosted.

I do both. I print out the list just like it is for the sign ups. This way I know each group has what it is supposed to.
Than I put each group that a swapper is in under their name. This way I know I have everything each person is supposed to get. Sometimes I include the list when I mail and sometimes I forget. :rolleyes1
Cut and paste using multiple columns in Word is a wonderful thing.;)
 
When Kat & I sorted these large swaps.

We make "markers" for each group (the group # written on half a sheet of paper). And we lay those out all over her living room. Then we empty all the boxes and put everyone's bag under the correct sheet.

Then we'll take a group at a time, sort it, and put it back in the bags people sent (it is nice when people send in gallon bags, since everything fits back in nicely). This is where the "problems" show up (missing group of swap items, extra group of swap items, wrong number of items in a group).

Then we will take the list of swappers and pick up their bag for the groups that person is in and put it in their box/envelope, label and seal it up.
 
That's pretty close to what I do to. Only I empty one box/envelope at a time to place in it's proper group. Then I swap amongst each group. Then I load everyone's envelope/box. Using the packing lists helps a whole bunch that way. I don't seal up stuff until everything is loaded up.
The tags was the easiest ever as I could put all the groups into their own little folder. Once the groups were swapped it was easy to load the envelopes.

That's what we do too. Rereading I guess I can see how someone could think we dump all the boxes in a big pile and then place.

I did the same kind of thing for the resort swap. I had a box for each group and put the bags for each group in the box. Then I sorted each group out into sets, leaving the sets in the box. Then once the groups were sorted I placed them into the return boxes for each person- checking off the both lists (same as AWM lists) as I put them into the box.
