From reading other PhotoPass share threads and taking into account my own experience with PhotoPass, I put together some guidelines for our group to use. If you have any questions, please let me know.
1. Timeline
Oct 23: first group member (Katelynnsauntie) arrives at DL. 30-day timer begins to upload PhotoPass pictures from the groups first PhotoPass ID card to the PhotoPass website.
Oct 26: first group member (Katelynnsauntie) returns from DL trip.
Nov 5: deadline for me to receive your share of the PhotoPass costs.
Nov. 8: projected date of first photo upload to PhotoPass website. Starts 30-day timer to order PhotoPass CD.
Nov 9: last group members (Soonermomd and Sarangel) return from DL trip.
Nov 8 Nov 22: period set aside for editing photos on PhotoPass site.
Nov 22: projected last date to edit photos on PhotoPass website and order PhotoPass CD.
2. While-at-DL Process
Pick up PhotoPass ID card(s) from PhotoPass photographers.
Keep track of your PhotoPass ID numbers. Options include taking a picture of the back of each ID card with your own camera, writing down the ID number of each PhotoPass card, or storing that information in your cell phone/PDA. That way if you lose the card, the photos on it wont also be lost.
While in the parks, take advantage of as many PhotoPass opportunities as you can.
Please DO NOT view any of your PhotoPass photos at the park PhotoPass kiosks, as this will prematurely start our 30-day upload timer and cause timing issues with editing upon our return from vacation.
If you have a Disney Visa card and decide to take advantage of the exclusive character Meet and Greet at DCA, please ask for a separate PhotoPass card at the Meet and Greet and only use that card for your free picture there. Do not add other vacation pictures to that card so that we avoid the problems mentioned in the previous bullet.
There is no limit to the number of PhotoPass pictures you can have taken, except that each card can only hold a maximum of 999 photos.
You can use multiple PhotoPass cards just keep track of them and dont lose the ID numbers. For example, some people write down the numbers while others take a digital picture of them.
3. Post-Vacation Process
PM your PhotoPass ID number(s) to me (gortman65 on DIS).
I will enter your PhotoPass IDs on the PhotoPass website in a block, to ensure your familys pictures are in sequence.
Please DO NOT go to the PhotoPass website yourself and enter your PhotoPass IDs, or I will not be able to add them to our group PhotoPass account.
Once you have sent me your PhotoPass ID numbers and I have added them to our group account, I will email/PM the PhotoPass account info to you so that you can begin editing your pictures.
I will also make a copy of the first picture in your family's PhotoPass photo set. Please do not delete that photo, as I will use it as a marker when copying each family's pictures to their CD.
Be sure to take advantage of all the editing options available to you adding borders, cropping, adding character signatures, park emblems, etc. Its a lot of fun! Remember that there is no limit to the number of pictures we can have on the CD. I recommend that when you edit a photo, do not overwrite the original photo with the changes but instead save it as a new photo. That way you effectively increase the number and variety of pictures you have. If there are more pictures than can fit on one CD, Disney will just send me multiple CDs.
Please do not edit the pictures uploaded by other families. I feel silly mentioning this, but its better to be safe...
Send me an email or PM when you have finished your edits.
Please have all edits completed by Nov 22. That is the projected deadline by which we have to order the CD package. If we can finish sooner than Nov 22, great; that means well all get our pictures sooner!
On Nov 22 (or before, if everyone is finished earlier than the deadline), I will order the PhotoPass CD. It usually takes a week or so from the time its ordered to the time its delivered.
On Nov 29 or so, I will receive the PhotoPass CD and begin burning individual CDs for each family. Please give me a few days to complete this process and send them out to you. I will make sure each CD I burn is readable and will verify the picture numbers with each family to make sure you get all of your pictures but none that belong to other families.
I will include in your envelope a copy of the Disney paperwork that waives their rights to the photos, so that you can take the CD to your local photo place to get prints made.
By the end of November/early December you should have your familys CD(s) and the Disney waiver to make copies of your pictures.
