Help please....question about Orange County Comptrollers website

I have a question about the website and need some direction please. I have this web address:

Is this the correct site to look up if a deed has been recorded?

Here is my issue. We purchased our second resale contract. Passed ROFR, received our closing documents, sent in our payment and then were waiting on official closing and deed being recorded.

On our first contract the title company closed our deed 6 days after receiving ours/sellers closing paperwork back. Easy peasy. This time we are now going on three weeks and we haven't closed. I reached out and was advised that because we purchased OKW Disney required a quit claim deed from the sellers stating they did not elect the OKW extension. She stated she sent it to Disney three weeks ago and she had expected it to have been recorded within 5-7 days but has heard nothing back from Disney. She stated her only means of contact with Disney is through their DVC resale email address, and that she has contacted them three times and nothing.

Today I contacted member accounting who transferred me to the Quality assurance team. They advised me it was recorded on May 25th after asking me what the sellers names were. They provided me with the buyers name (us) so I knew it was the correct information.

I'm now trying to figure out how to look this information up on the comptrollers site. I can look by party name, Grantor name, Grantee name etc. I'm just confused as to how to look all this up. Our brokers wont close on our contract until they can see or receiving information from Disney that the sellers quick claim deed was recorded.

Sorry it's so long winded. I just feel like I'm getting the run around from them. First they messed up the wording in our contract so when it went to ROFR Disney sent it back to be corrected, which in turn, delayed the 30 process, now this. UGGHH

That is the correct site. I used either party (to the right of where you can filter dates) when searching for my deed.

Thanks. I had tried the sellers name, nothing came up although Quality assurance insists it was recorded on 5/25. Yeah me I'll try calling back tomorrow and see if they have a document number maybe. This 3 months + from beginning to end is for the birds

Yes, it's the right site. Grantor is the seller's names, Grantee is your name. Make sure you put your last name first, then your first name last (no comma needed). If you have a common name, then narrowing down the dates will help, but not required. Really just your name is enough, you don't have to put in anything else.

There should actually be 2 documents that come up when you search. The ROFR Waiver, and then the deed.

This is the only OKW contract that was recorded on 5/25 that I saw. In fact, I think it was the only resale contract recorded on that date. All the other ones looked like direct sales.

Got it, so you're looking for something that looks similar to this "Quit Claim Deed":

What you can do is under recording date, put the start and end date as 5/25/2016. Then go to the advanced tab and look for the "Legal Remarks" field. Type in "DISNEY VACATION CLUB AT WALT DISNEY WORLD" (you should include the quotes so it looks for that exact phrase). Leave everything else blank. There are 16 documents that come up. Check all the ones that are listed as a deed, if it's not there, then I'm not sure if it was recorded.

There will be three documents filed and recorded on your resale transaction:

OKW Quitclaim Deed - This document can be located on the OCC website by entering the following items in the Search dialogue box:
Grantor = Seller's name in Surname FirstName format (Smith John)
Grantee = Disney
Choose Document type as DEED
Note: If the seller has a common name, then you can limit the search by Recording Date. I recommend you enter a range of dates, such as 05/01/2016 to 06/02/2016.

Notice of Waiver of Right of First Refusal
Grantor = Disney
Grantee = Seller's name in Surname FirstName format (Smith John)
Choose Document type as NOTICE
Note: As above, if the seller has a common name, then you can limit the search by Recording Date. I recommend you enter a range of dates, such as 05/01/2016 to 06/02/2016.

Warranty Deed
Grantor = Seller's name in Surname FirstName format (Smith John)
Grantee = Your Name in Surname FirstName format
Choose Document type as DEED

The Warranty Deed and the Notice of Waiver are almost always recorded on the same day. The Quitclaim deed usually is filed at the same time, but sometimes will be filed by Disney before the Warranty Deed and Notice.
