I has happened our last 3 trips (Oct 2007, April 2008 and Oct 2008). I all cases, the reservation was made with the MS CM calling Special Needs to verify that an accessible room was available for the dates we needed. The room was blocked for us by Special Services, our confirmation sheet said "Accessible Villa Guaranteed" (or something very similar) and when I called Special Needs to check, they verified that it was in their computer that way.
When we went to check in, they said there was nothing in our record about any special needs.
For our last trip, DH said we had reserved an accessible room; the CM said it didn't say anything. My DH asked if there was anyplace else to check or whether they could call Special Needs. At that point, the CM got a supervisor who said maybe they should check the 'other computer' backstage and they were able to find the room.
The CM tol my DH that there are 2 different computer systems which can't 'talk' to each other. The DVC computer at the check in desk was not capable of looking into the other system which has accessibilty information. My question in that case was why they could not have a note on the DVC part that tells the CM assigning rooms to look on the other computer.
Thanks for the info, Sue. Next trip, our DD will be with us. I will be sure to ask them to check the back computer. Even though they can't disclose room numbers until the villa is ready, I will ask them to verify the last two digits of our rooms. At BCV there are only 5 2BR units with roll in showers and they are stacked.
We didn't have this problem at our club level 2BR at AKV last May but the difference might be that at the club level, you check in right on the floor.
Like you, our problems have been rather recent...May of 2007 and May of 2008. If the system wasn't broken for so many years, why can't it be fixed now!!!
