Engagement Brochures

I'm planning on sending Engagement Brochures to all my guests, who probably already know I'm engaged, but the real point is to let them know well in advance that the wedding will be in Disney so they have plenty of time to save.

I pretty much have an idea of the information that I want to include in the brochure. The part that I'm unsure of is how to organize a survey for them to send back to me.

I want to include some sort of a survey for them to fill out and send back with questions like, do you think you will attend?, which hotel do you think you might be interested in (value, moderate, deluxe)?, and do you think you might fly or ride the bus (we're planning on having a bus for guests who don't want to fly)?

This way I can have a rough idea of who is thinking of coming, where to put the room blocks, and how many will ride the bus.

I guess my question is how should I do the survey - should I send something separate along with the brochure? I guess I'm looking for something easy but creative, I just don't know what. (Sorry it took so many paragraphs to get my point across!)

Has anybody else done something like this?

I tell you what I would do. I would, if you can get it small enough, do it on a post card type thing, or something that is self addressed and stamped. I think the 'least hassle' that it is for your guests, the better response you will get.

Hi! I'm not sure what you mean by "engagement brochure" - do you mean an engagement announcement? Or maybe a save-the-date? Lots of brides on the DIS send save-the-date letters that serve the purpose you describe, since actual invitations are sent out much closer to the wedding. Save-the-dates tell people where and when the wedding will be so they can start making plans. One thing to consider is that, if this is the first they've heard of your wedding, the guests may have no idea what hotel they want to stay at or when they'll arrive. Even if you think they know already, they may not have begun planning like you have!

So you might want to first send a general save-the-date, and then follow it with a newsletter with all the details of WDW and your survey. That way they'll know their options before they have to reply!

I also would like to get an idea of what guests may or may not be able to come before I send the official save the dates through Disney. That way I don't have a ton of people who end up being "B listed" and have their save the dates arrive well after everyone else. I thought of a newsletter, but again it's still like a save the date, or even calling up each person and asking, but that's like 100+ people!! I would love some suggestions on this too! Sorry - I should have clarified. It's an engagement announcement but I'm putting it in a brochure. It will be sent out before the Disney save-the-dates to give my guests more time to save.

That is a good point though - some guests have never even been to Disney and will probably need time to research the hotels, so maybe I should send the general engagement brochure out first and wait a while to send the survey.

You got it - I wanted to send something way before the Disney save-the-dates.

What I plan to do (to avoid people thinking the brochure is the save-the-date or the invitation) is put a big sentence in there (bolded) that says "Official Disney Save-the-Dates and Invitations to Follow". Also I'm only putting the month and year (October 2008) in the brochure so they'll have to expect something later that gives them the exact date. Plus I don't have an exact date yet.

I'll post the brochure and postcard when I'm done so you can see how it turned out.

We are also sending out a brochure with information. What we are doing for the responses is including a postcard with the questions and our address already printed on them. I ordered the Disney Romance postcards from the usps website. I'm going to print off the address and questions on mailing label type things and just stick them on. The postcards came with the Romance stamps on them already.
