Double Check on those Special Requests!

Back in January, when I made the reservation for our OKW GV, I put in a Special Request for a non-HA first floor GV or in the elevator building. My mom has bad knees and does not do stairs well. She can do stairs, but it's difficult on her....thus the request.

On 12/12/11, I called MS to to add on Magical Express for them. At that time I asked about my Special Requests and CM stated they were still in there. My parents arrived yesterday at OKW, and the Special Requests were GONE from our reservation! :confused3

I spoke, via phone from work, to the front desk supervisor and asked if the Special request was just not honored (as I know they are not guaranteed), and she said there was no Special Request on it at all. They were placed in a GV on the second floor....either that or move to SSR and mom mom opted to stay at OKW.

Called MS, who stated that there was a computer glitch around the 12/12/11, that erased all Special Requests when anything is done with a ressie!

Your request was next to impossible to meet, even if the glitch had not erased it, it would be doubtful that there would have been any unit meeting those requests.

There are no ground floor non-HA Grand Villas at OKW. There is only one ground floor entry GV unit, in building 48, and it is HA.

Of the 3 elevator buildings, only one has GVs, and it is also an HA bldg...but I don't know if the GVs in that building are by default HA. If those GVs are not HA, they would have been your only chance of getting your request.

All other GVs at OKW have entry on the second floor and you must walk up one flight of stairs to the entrance.

There may simply be no unit that exists at OKW that meets your criteria.
 
Sorry to hear the requests were gone, but also realize that OKW has no ground floor non-HA GVs (there is only ONE ground level GV and it is HCA). The only GVs accessible by elevator are in building 63 and there are 2 of those. If those were reserved thru Special Services, they would not have been available for non-HCA requests anyway.

Perhaps the request was removed by the room assignor when realized that there were no GVs available to meet the request. OKW has 27 GVs total and only 3 would allow accessibility to the first level of the villa - either by elevator or ground level. I believe 2 of those are HCA (possibly all three).

I'm not sure I believe that all requests were removed from reservations on 12/12 due a computer glitch, but there are other possibly other reasons why the request was not met and that was offered as th excuse.

I hope your mom is still able to enjoy her trip! :)
 
I have made that specific request twice before and have gotten Bldg 63 both times. Thanks for the update on the GV info! I will be more specific next time.

Didn't request HA as she truly doesn't need it and I don't feel comfortable taking it from those who may.

My point was to perhaps have folks call and check on their Special Requests! Per the Supervisor in MS, it was not just my ressie, but a know situation with the system that occurred around that time. Wouldn't have mattered what my request was, it was removed from the system due to this issue.

We checked in at SSR on 12/9 and our requests had been deleted or not passed on to the resort. I had checked that they were on our reservation a week prior and MS reported that they were still there.

Its one of those reasons that you have to "be careful of what you ask for" Room assigners and front desk staff don't know why you are making requests and just do the best with what they've got (if they bother at all - we have had crummy luck with anyone seeming to care). And if its dire, call Special Services - or whatever they are called - to have your room locked in. Since "requests are just requests"

And everyone ia waiting with excitement for when they start on-line booking. I suspect just before 7 months after it starts we will see postings that begin "My on-line reservation is gone and MS does not have any evidence I made a reservation. Moreover, my points are gone too."
 
Appreciate the warning - called MS yesterday to double check our special requests (among some other issues) and luckily, ours were still in the system for our upcoming June trip. Whew! :goodvibes
 
OP just wondering if you did online check in??

Attempted online check in twice and was not successful! Called through the IT Help Desk as instructed when there was a problem with my checkin, and they also could not explain why, nor help me unfortunately. Linked ressie with my DSIL, but have never had an online check in issue before with linked ressie.

Perhaps this ressie was just messed up from the beginning! Who knows...we are here now and having a wonderful time!

As I PP, just because MS reports that they are still there, doesn't mean that the room assigner will get them. Just for the heck of it, when you check in with the front desk verify that your requests were passed on to them.

For our October 2010 trip I confirmed our room requests where there 48 hours prior to checking in at BLT. At check in the CM informed me there were no special requests listed. I don't think they are getting to the room assigner as posted below.


As I PP, just because MS reports that they are still there, doesn't mean that the room assigner will get them. Just for the heck of it, when you check in with the front desk verify that your requests were passed on to them.

I think it's unlikely that the requests were erased but as noted, your request was not feasible and it's unlikely MS would know that. You correctly realize that requests are not guaranteed but I'd go further and suggest they're often not even looked at. If one has a medical issue simply reserve the HC unit that meets the needs if it's available. Trying to avoid the HC unit but still get a medical request that the HC unit would satisfy makes no sense to me and that's from someone who'd rather not go than have a HC unit if I don't need it.
