I am concerned about the cost of food -
catering is out as we are looking at $600-$800 to do BBQ and fixings - plus not everyone in our immediate family eats BBQ. We priced the meat trays and premade they are priced high and by the time you add the sides needed, you are getting very costly, especially for something not so filling.
I totally understand about being concerned over the cost! (I recently volunteered to host a bridal shower for my niece - I was thinking it would be a "family" shower - the guest list ended up being for 75, & I was absolutely stressing over how I was going to pay for it!)
I do think, however, that for a 1:00 pm party, your guests *will* be expecting lunch. And I think something like BBQ or lasagna/spaghetti can be prepared & served more simply & more inexpensively than sandwiches and/or hamburgers & hot dogs.
We have a local BBQ place that would serve 100 people for less than $500 & that would include the BBQ, buns, & 2 sides. This particular place is a lot of local churches' & other groups' "go to" place for catering larger events. However, realizing that not everyone eats BBQ, you would also need various side dishes like pasta salads & fruit in order to accommodate everybody.
So, I think I would do either pans of lasagna or spaghetti (instead of spaghetti noodles, though, I would use something like penna pasta for easier eating), tossed salads w/ various dressings available, and slices of crusty bread. Pasta can be made very inexpensively & very easily - not a lot of prep work, & it can be done ahead of time. It's filling too. Also, it's easy service for the ones who are preparing/hosting/serving at your event.
You wouldn't necessarily have to do appetizers, but, if you wanted to, you could do BBQ'd meatballs &/or cheese & crackers. When I serve Italian, my appetizers are toasted raviolis & and a antipasta platter w/ various olives - but that could get expensive for 100 people.
If the party has a definite start time, you could even have little platters of cheese & crackers set up at each of your tables. Or, you could go ahead & put out a salad bowl at each place setting w/ the dressings available at each table. You could even have bread baskets at each table. And then have a small buffet set up w/ dinner plates & the lasagna and/or spaghetti. If you do just spaghetti, you could offer both a meat sauce & a meatless sauce. Are you setting up w/ long banquet tables or round tables w/ 6-10 chairs at each table?
And, I would think the only dessert you would need would be the birthday cake.
And then have a drink station/table.
