<b>Edited:- Initial figures look to indicate that we won't get our minimum 200 people for this event to be private therefore I have swapped this with the Illuminations Dessert Party (which is now on Saturday) so that we have the option of booking the Grand Gatherings Safari Dinner instead....it's basically the same idea but 'scaled down' a little.

As promised, here are the <i>very early</i> outline proposed details of a potential Animal Kingdom Event.


If that first sentence makes absolutely no sense to you whatsoever, then check out this thread and it'll all become clear :)

Now, first off I have to say that I have earmarked this event for Sunday 19th June 2005 - however, as most of you are probably aware, Disney have just added Extra Magic Evening Hours to their parks...and don't seem to have any set schedule yet for which nights they do which parks :rolleyes: So, depending on what nights AK is open late in June will depend on when we have this party...if so it might move to the Monday night it that works better for us.

In the meantime however, here is the initial plan for a <i>private and exclusive</i>, after park hours party in Animal Kingdom. Actually - it's a two tier plan, we'll work towards having the 1st tier and depending on whether we get sufficient numbers, we can then 'upgrade' to the 2nd tier.

1st tier is a 3 1/2 hour Kilmanjaro Sunset Safari/dinner event and is similar in style to one that's offered through Grand Gatherings...but better ;)

The event begins after park closing when we head to the Kilimanjaro Safari's and get to enjoy a private safari through the savannah....exclusively for us!

Afterwards we meet up for a bit in Flame Tree Gardens (remember, we are now the only guests in the entire park, so camera's are a must for some great photo opportunities!) until everybody has completed their journey and where we can add what is described as an 'up close and personal' animal encounter which can include birds, reptiles, invertibrates or small mammals.

Then we move on to our special dinner at Tusker House. Again, this is similar to the GG event, however with a <b>much</b> better quality menu! We also have some options of adding live African music, story-telling from the Citizens of Harambe or even characters if we wish.

Transportation back to a number of central locations such as Downtown Disney, the Boardwalk area resorts and perhaps the Transportation and Ticket Centre will also be provided (as Disney transportation from the park will have long ceased by that time).

2nd Tier, if we get enough people attending can be to upgrade to the Harambe Village Street Festival - instead of dining within the confines of Tusker House we are offered a number of authentic cuisines from outside food stations in a street party atmosphere - which sounds much more fun! However, there is a heavy techincal fee involved as the park area needs lighting, etc, hence we need a <i>very</i> good attendance to make this upgrade viable - but if we did get the numbers it would only work out a few $$ more per head.

Ok...to the important stuff then.

Now, as I'm sure I mentioned previously, this is a very tricky event to try and price prior to people actually committing themselves, quite the Catch 22 as people obviously don't want to commit unless they know a price!!! Really, so much depends on attendance, final menu's and the amount of 'frills' we wish to add on, but to emphasise - the biggest factor will be attendance, bottom line is the more people who attend - the cheaper it will get.

So, you'll all have to forgive me for still sounding so vague at this stage.

I can tell you that for this particular event we will need a minimum <b>200</b> people to attend. On the bright side we virtually already have that many people interested in Project X in general just 5 weeks after announcing it, we've still another comfortable 3 months to find more folks to bump that figure up :) That said, obviously not everyone who has expressed an interest in Project X will be interested in this particular event so there's still a bit of work to be done to hit our initial target.

If we were to consider upgrading to the Harambe Street Festival option, then we'd be looking at a minimum of <b>300+</b> people attending. So right now that's just a pipe dream...when we hit our first target, then perhaps we can start entertaining the idea of hitting our second one.

Theme park admission is NOT required.

Prices...needless to say these are only <b>ball park figures</b> right now. It's impossible to give an exact price until we get a better idea of final numbers.

Therefore if we get 200 people cost for adults will be in the region of <b>$100</b>, children get cut some slack on the food & beverage costs through Disney but nothing else, so that will be in the region of <b>$70</b>. So not cheap by any means...unfortunately having a themepark to ourselves comes at a price :(

Under 3's are free.

If we get 300 people then that comes down to around $90/$60 respectively so that gives you a general idea of how the numbers game 'works' with regards to price.


Ok, I also think this is a good time to remind everyone that this is a <b>non-profit</b> project and every cent paid will be ploughed straight back in to it :) Unfortunately, if you don't like the price - you need to blame Disney, but don't blame me ;)

We are definitely interested in this one. We are a party of 2 adults and 1 child. I already sent my email info. Unfortunately I used my work email not my home email. I don't know what I was thinking!
 

Ugadog - if you want to send another email to projectx@wdwinfo.com with your home mail on, but also with your work email as well so that I can tie both addresses up and not count you twice, then I can send out the mailing list to both of your accounts if you'd like, it's not a problem :)

Do you have any idea of when you will know if it will be held on Sat. versus Mon. That changes our plans quite a bit with that shift. To be honest, it is easier for DH to take off a week for things on Sun-Thur nights (not to mention the use of points through DVC resorts--the weekend nights are just to high).

Anyway, we had thought the activities would be over by Monday morning, so moving this (which is the one we would most like to do) changes how we would have to look at vacation schedules and resorts stays and such.

So I was just wondering when you might have a defiant answer from Disney as to whether it would be Monday instead of Saturday.

This sounds great. I also need to know which day it will be... I can only visit for a long weekend (I'm a student) and I'm not sure that I would be able to stay through Monday night.
I'm curious, will any attractions (other than the safari) be open during this event?
Either way, the event sounds like a lot of fun... thanks for putting this together!!!

I might be interested if there were characters going to be there for the kids. Would any of the rides be open? Wow! This is my 500th post!
 
We can be there 2 adults and 2 kids we will be at WDW for the month of June. E-mail us to let us know when and where to send the money.

I've been thinking some more about this as a few others have mentioned they'd be leaving on Monday too - obviously I want it on the Saturday as 1st choice because the weekend is when most people can attend - and this event is one of the ones where numbers are very important! Another option might be to swap the Dessert Party to the Saturday and AK to the Sunday though be aware it's always been my intention to have some sort of an event on that Monday too...just not 'the big one'.

Unfortunately it sounds like Disney are trialling different nights for EMH to see what works best for them so until the results are in there's no way of predicting what they will do in June...looking on the positive side though all the evening EMH's at AK so far for Jan/Feb/Mar are all on Tues/Thurs and Sunday's so I'm hoping that the Saturday will be fine. I'll talk it over with our rep though as this problem may have already come up with some events booked in the next 3 months, let's see how they're handling them.

Basically, until you hear otherwise - assume the event will be for the Saturday night. In the meantime everyone just needs to be aware of the potential problem so that there are no nasty 'surprises'.

Ok, on to the other questions - at this time, no - there will be no other attractions open other than the Safari. Obviously when there are only 200 people in a park that's capable of holding, what? 30-40,000 people perhaps? (Just imagine being in an empty and quiet park like that!) Then Disney aren't going to open anything for us unless we pay for it - and pay for the CM's to look after us - and pay for that area of the park to be lit - and pay for the technicians who have to look after the park being lit...you get the idea. I won't post the exact price of the Safari - Disney haven't directly asked me not to but it doesn't seem to be the 'done thing'. I will say though that the Safari accounts for approximately a third of the adult price I've initially quoted. You basically have to not only 'rent' the attraction, but you've got to pay the staff who have to be there to run it and all the other little bells and whistles associated with it.

If we got sufficient numbers (boy, I should just cut and paste those words I say them so much, LOL) then we could look in to adding another attraction but with my more practical head on I'd be more inclined to just aim to add more frills to go for the street party and enhance that experience unless attendance was significant and I'll be honest, whilst our numbers are good, I'd be surprised if they were that good. The plan has always been to focus on small, <i>quality</i> events...and then if things go better than planned, we can build on it from there :)
 
We'd be very itertested in this! We are arriving Saturday, so we'd have to schedule oour flight appropriately, but that can be done. Monday would in fact be easier for us, so that's also a possibility.
 
This event sounds GREAT!! (I got your email but couldn't click on the link to get to this thread.) We are definitely interested in this one: DH, myself, and DD11 - is Tori still a "child" for an event like this, or would she be charged the adult rate? Thanks! Laura
 
Sounds terrific Penny. Just one question tho...we did the Safari last month, and I think it was the last run of the day..around 4:30-5. THere weren't a lot of animals out then. Do you think there will still be animals out at this later time? Just curious. Looks like another good thing for dd, 11, and I to do. And I may have to change my flight to Friday instead of Sat and then stay at AllStars for Friday night so that we could do AC!!!! That's something I've always wanted to do.
 
These plans sound great. We sent our email the first day, so you can add us to the list for this event too (two adults)! Either day is fine with us: we will be arriving on Friday morning and heading home Tuesday night. In fact, we are coming just for this fun, so feel free to include us in all events. This will be our best wedding anniversary yet!!

We are diligently working on our social group to come along, will let you know if we can add to the event count.

My offer of help from our email still stands. I am an accountant and a terrific party planner...just let me know what I can do.

Glad to see so much interest in this so far! I was worried the high price tag (more than I had said in the initial announcement thread) would scare everyone off....but the amount of interest that had been shown in the Haunted Mansion Movie Set dinner that we weren't able to book led me to believe that some decent food was as much an attraction as a...ummm, attraction, LOL.

And don't worry guys - I have all you willing victims, er, volunteers noted - if I need you, I promise I'll come hunt you down without mercy ;)
 
Ok everyone - I'm giving this one last 'bump' before I start to sign the contracts...this should happen this week and means that I'll be opening official registration and taking deposits probably at the weekend.

However, at that time I will initally <i>only</i> be opening registration to the people who so kindly helped me get an idea of numbers and Pre-registered for the events. Everyone who has joined my mailing list should receive an email from me with instructions on what to do before I announce it on the boards. This is to ensure that these guys have the best chance of booking their place on the events that have a maximum capacity (Adventurers Club and now, because it's getting so popular I may limit the Illuminations Dessert party too - don't want us all crammed in there like sardines...kinda defeats the purpose of having a special area in the first place!) - so...if you want to be have the very best chance to book your places, it's not too late to still Pre-register here! Remember, to be fair registrations will be on <b>strictly</b> first come-first serve basis.

So, just to recap, the events that I have information up for so far are the our Illuminations Dessert Party and the private event at the Adventurers Club. Backstage tours info has now also been added, as has the outline proposal for an after park closing Safari Dinner at Animal Kingom. :)

Also, I have just had it confirmed that we will be allowed to buy Disney meal vouchers in advance - obviously you will have to partake in at least one event in order to qualify for these and the vouchers will most likely expire either end of June or end of July. I'm just waiting to get a confirmed list of all the places these can be used at - once I do, I'll post more info.
