When should I contact IPO?

I am staying on the concierge floor at the Contemporary this January and my ADR window opens up on July 9th. I was wondering when I should contact them to start the dialogue of making my ADRs.

Also, what happens to your ADRs if you book them through IPO and then you downgrade to a non club-level room or a club level room at another resort? In case the Contemporary's construction takes a turn for the disruptive (or we really like the refurbed GF rooms) we are considering switching to Poly LVC or an RPC/non-concierge room at the GF. Would our ADRs remain in tact even if we downgraded to a regular room? We aren't trying to game the system, Atrium Club at the Contemporary is our first choice, its just with the construction and the--ANNOYINGLY--yet to be seen new rooms at the GF, there is the possibility of switching.

I would contact them this week and start your discussions. They should be able to take any request you have now and put them into the system as a pending item. I wouldn't wait too long, because depending on how busy they are, they may not be able to get back to you right away.

As for the ADR's booked by concierge... you'll want to check with them about the policy. Unfortunately, I do imagine that some people have gamed the system. They may remove any notes that they've made, but I imagine that they would still stay tied to your reservation. It's definitely worth checking on though.

I am not sure what would happen for you when it comes to the Contemporary IPO e-mailing you or calling you back. For my families stay in August on the Atrium Club we were sent an e-mail from them 1 or 2 days before our ADR booking dates were going to open up. Maybe that was total a coincidence or maybe they did that because we did not contact them?
