Room request for parties traveling together

We booked two studios for Poly online. What is the best way to make a request to have the rooms close together and when should we make that request? I hear suggestions to call MS and others say to email. If you email, do they respond with acknowledgement of the request? I know nothing is guaranteed, but I want to at least get the request in properly for the best chance.

Are you a DVC Member or did you book with cash on the website? If it’s a cash booking you would just call the normal Disney Reservations line.

We just became DVC members this past year - resale at the BWV. The Poly stay is for the first two nights since we wanted to add on after our initial BWV, but they weren't available there. We were able to add on the first two nights at the Poly at the seven months. So, now we have a split stay. So, I will also be making a request for the BWV stay.

We travel often with multiple DVC rooms. I always either use Chat (when available) or call MS to ask them to add the request to the room reservations - something like 'traveling together' is what they'll often include. Most of the time we've gotten rooms close, but a few times they couldn't do it. Email is a third choice we've not used, but many apparently have. But through Chat or call, we can confirm the requests are on the reservations immediately.

Also, (sorry if you know this already) but make sure you have different people as primary on your 2 DVC reservations (both parts of the stay). You can't be primary for both. Have a great trip!

If a DVC Member who has reserved through the DVC site, you can put in a request with MS, via phone, chat or email (I usually do email as it assures I can easily make a copy of what I actually provided to MS and when, which is responded to usually in about a week), that provides the confirmation numbers of both reservations and lead names, informs MS that the reservations involve people who are "traveling with" each other, and requests to have the rooms near each other. If you have reservations for staying part of the time at one resort, and the rest at another, you need to make a request that clearly sets that out, including the different reservation numbers (if via email, I would likely do that via two separate requests)

You can make the request as early as the day you make the reservations, and likely should make the request no later than about a month before arrival to assure it is given before the resort starts assigning rooms to persons with the same arrival date. In the past when doing traveling with requests I have usually waited to put in the request until about four months out, after it becomes fairly certain that everybody on the reservations is actually coming.

Just use the chat feature when it pops up on the right side. By far the easiest way to do it.

I usually login to the DVC site and do it by chat or email around a week before we go
If you email then they will reply but state it cannot be guaranteed.

BW is perhaps the worst historically for meeting member requests and "travelling with" requests have always been challenging. Make the request, sometimes it works out, but also be aware that it isn't always possible (and sometimes they don't even seem to try) - or "near" might end up being on different floors in the same part of the building near a stairwell. Set expectations that you "hope you get rooms close to each other" but you "may end up gathering in the lobby before traveling to the parks." With DVC if it is vital that your party be together, book the room size that puts as many of them as possible in the same unit. Never count on a request to make or break your vacation.

Personally, I'm a fan of booking several rooms and letting Disney put them where ever. I love my family, but I don't need that much togetherness.

I have a cousin like that...LOL But I do enjoy being close to most of my friends and remaining family.

Lol...I agree...I had it actually hurt my room request last trip...had 3 rooms booked added traveling with...and got not where we wanted but 3 rooms right near each other. I'd rather be where we requested even if that meant "close" and the same general area.

BWV didnʻt honor my friends traveling together request but I have had some success with requesting rooms.

I do wonder if it is better to request a location for the rooms (say, near the lobby for instance) and let the chips fall as they may, or, be less specific and just request "near each other".

I’d do near each other because then the rooms assignee can try. Just ask that they put traveling with and the other reservation number on each and ask that they add the note to be as close together as possible.

I guess we got lucky. We had a standard studio and our friends had a pool/garden 1-bedroom at BWV. We had put in a request to be near each other. We got assigned right around the corner from each other on the same floor, very convenient. This was this past November. We had the exact same dates.

Actually the November before at BWV, we were in a standard studio a few days before they arrived to their standard studio plus 2 overlapping nights, then we had 5 nights in a standard 1-bedroom while they stayed in their standard studio. Our studios were not close. Also, we had asked if we could connect for those last 5 nights, but our friends were assigned a dedicated studio. However, when we moved to our 1-bedroom, we were literally the room next to them. We connected to a different studio. We were on the first floor so we had the patios “connecting” at least.

Next year we pooled our points and are getting a 2-bedroom instead. So guaranteed together

Even back to the days when there were smoking and non-smoking buildings at OKW, when ever we traveled with a smoker we were put in adjacent buildings. When traveling with non-smokers we have always been in the same building.
