Room Nights Question

Hello everyone! This is my first post, so bear with me....

I just received the information from my consultant to start the Letter of Agreement including the room night guarantee block. The excel spreadsheet she gave me has two totals at the bottom. One labeled "Total Room Nights" and the other labeled "Total Room Nights Guaranteed". They calculate to different numbers - obviously one is a percentage off from the other. My Total Room Nights equals 67 and my Guaranteed Room Nights equals 56 - does anyone know what this means?

Does the "guaranteed" number become what is contracted? Will they actually block the amount I want for the "Total Room Nights"?

Any help is much appreciated. Thanks!

I'm pretty sure that the way it works is they block out the rooms that you want, so the "total room nights", and then per your LOA when you get it, you have to guarantee a percentage of those rooms will be filled. I believe the percent is 80%. So just because you want to block a certain amount, doesn't mean you HAVE to fill 100% of them. Just the % that is guaranteed. I hope that makes sense.

yea, i thought i had it figured out until i actually sat down to fill in the form and then i was thrown the curve ball. I am still waiting for definite clarification from my consultant so i will post what i find out.

So... what part of the original question hasn't been resolved?

Total Room Nights = the number of rooms you are setting aside

Total Room Nights Guaranteed = the number of those rooms that you have to actually fill to meet your requirement


You are allowed to set aside up to 20% more rooms than you actually have to fill.

It's my turn to be eyeball deep in confusion over this. I guess my biggest issue is how the heck do I come up with these numbers? I have no idea how long people are going to come down to Florida. I only have the vaguest idea at this point who is planning to come. What if I don't block enough rooms? I really can't afford to block too many and then be required to pay for them.

Do I just make it up and guess at a number?

Total Room Nights is what you are asking Disney to set aside for your guests. The Guarantee Room Nights is 80% of your Total Room Nights combined. The guarantee is also you saying that you are 100% sure you will use at least that many rooms for your wedding week. If you do not meet your guarantee you will be responsible to pay for the unused rooms.

For example...
You ask Disney to set aside 20 Total Room Nights.
Your Guarantee Room Nights will be 16.
If you and your guests only use 14 room nights for that week you have not met your contract guarantee. You will then owe Disney 2 nights and have to pay for the unused rooms. The price will be your lowest cost resort rate.

From what I read when I set mine up, its best to estimate on the low side rather the high side. There's really no way to know for sure how many room nights your guests will book (especially if you have a larger guest list). At first I booked a ton, then I talked more to my consultant because I was afraid of getting stuck with a ton of rooms I couldn't pay for scared1 I ended up with a total of 73 nights, 58 of which I must fill. I would be happy to email you my room block sheet if you think that would help. I am estimating our total attendance at about 40 people.

I ended up just sort of guessing and we're down for 36 rooms. I believe we're going to go over that but I'm not sure that people are going to book at the three resorts we chose. One large group is booking a grand villa with DVC points.

It really doesn't matter how many rooms you put at each resort as long as they add up to the minimum guarantee. Or if you think Disney will sell out rooms. Your guests will get the discount as long as rooms are available and you don't have to fill all the rooms you block at each resort. You just have to fill the minimum number you guaranteed. So you could block 10 rooms each at 3 resorts and even if all your guests end up booking at one of them you've still filled your requirement.

Correct me if I'm wrong, but my agreement says at 90 days before, I can drop 25 nights from the guarantee if my number's aren't looking where we thought. We shot high to make sure we'd have enough, knowing we could drop 25 if we had more than enough. As far as we know, that hasn't changed?

I don't think that has changed - my fiance and i, when we did this last month, actually polled our parents, his mom, our siblings, and close friends, who we are 100% sure about the fact that they're coming, and asked them where they'd stay and when they thought they'd join us. We used that as our 80% number, so the extra rooms we added on top of that are the 20% we're not guaranteeing, but are holding until 1 month before our wedding for anyone interested in them. We didn't want to get stuck with a lot of rooms to pay for, so that was our strategy.

If it's in your contract, it can't change, even if Disney's policies for new contracts do change.

I was told this same thing that at 90 days you have the opportunity to lower your room block number
