Since so many people have been asking how requests to the Hotel Room Assigner should be phrased, I thought this sample fax from Passporter and Tori Mask might be helpful. Obviously, you should provide your own info, and add your own touches. Faxes should be sent to the hotel 4 days prior to arrival. Remember, nothing is guaranteed...

Greetings from Texas!
Our first magical Disney vacation is finally (almost!) here and I wanted to see if you could possibly accommodate our room requests for Sept. 20-29. We have a courtyard view, need a non-smoking room, would like to be on the fifth floor, and would love it if we could see the fireworks from the balcony. Our little Mouseketeers are 5 and 7, so they would really like a room with the bunk beds, too! Thank you in advance for any help you can give us in making our first visit wonderful!

I was just curious to know if faxing your request makes a difference in whether or not you receive your requests? We've been going to WDW for years and I make my requests with CRO when I book my vacation and have always received what I have requested (I've been very lucky). I didn't even know there was a number to fax requests to. :)

The preferred way of making these requests is by fax. Preferred by who you ask? By the CM's who handle this. It is better to fax them than to call as the fax actually gets put in a file and rotated between the room assigners until you check in. If for some reason the room that was blocked for you gets moved, the next room assigner in rotation will catch it. Requests should be faxed directly to the resort and marked "Attention: Room Assigner".
No requests should be sent until 4 days prior to actual check-in. The resorts do not get to download the reservations from the CRO/WDTC computers until 5 days before your arrival and the room assigners generally block your rooms 3 days before. If you fax a request to a resort before they have the reservation in their computers they will file it in a special "pass" folder. That folder should be checked daily to pull out faxes that came in early but there is always the chance yours could be missed. The best way to avoid getting in the Pass folder is to not send in your request until 4 days before.

So was I. It makes more sense for people with faxing questions like cinmell to read the whole page of information rather than you copying bits and pieces for each question. That's why I copied the link to the entire page for cinmell and anyone else who wants to read it. I was actually saving you some work. Sorry that you took it a different way.
 
My subject line stated: ROOM ASSIGNER FAX SAMPLE. Thats what it is. The post I was responding to asked a specific question: 'How should I phrase my requests in my fax?" That was the question I tried to help them with. They did'nt ask how the entire reservation system works. If someone asks 'Where's the best place to eat at AKL?", I'll give them my opinion. I'm not going to send them a resort map, a menu and the names of the waitstaff. By the way, there is nothing wrong with copying and pasting on these boards, when proper credit is given. The writer of the very article you have been referencing copied and pasted the same fax sample into his own text. (He is not the author).
 
Why are you so defensive? No one accused you of doing anything wrong. I posted the complete URL in response to cinmell's question in this very thread. Answering one question often begets more questions.

Why do you think this is all about you? It isn't at all.

I think faxing a room request is a great idea. It is something I wish that I had done on my recent trip to AKL. I debated and ended up not doing it. I mean I had all my requests on my room ressies, they should know what I wanted, right? I had requested a non-smoking, king bed room through CRO several months in advance because my DH and I are were going for our first time without the kids for an adults only, b-day celebration (for his 40th). We ended up with one queen and bunk beds - which is all they said they had left when we checked in . They did upgrade us to a Savannah view (without asking), so I didn't whine about the beds and took the room. My DH and I searched our creative selves and made that particular bed configuration work ;) However, I definately think it would have been an advantage had we checked in early, rather than at 9:00 pm at night (we flew in from the West Coast), and if we had faxed a room request four days ahead of time. Personally, I would like to see Disney get into the 21st century and allow you to select your bed and smoking preference ahead of time, based on availability on a first come first serve basis like the rest of the free world.
 
Thanks for the info!! I will certainly be faxing my request in, now that I know about it. As I posted earlier, I have 2 ressies, one for 2 days(preferred) and 5 (standard). It was a price thing and Id love to not have to be moved etc......... thanx, Rick
