requesting specific rooms ?

Can someone clue me in about folks sending in a fax to request a specific room/building. We will be staying at CBR for our land portation of the Land/Sea package. If we want a specific building what do I need to put on the fax and where/who do I fax it to and how far in advance do I send it?
