Really Frustrated, please help

OP, we don't use credit cards either. My August trip is paid for, except for our car rental and food when we get there. I agree that you should report your card as potentially compromised. The last thing you need is someone stealing your identity.

I used to work in hotels, and we always took CC info over the phone, or people could send a check. However, since Vistana is a timeshare, the probably have different regulations and the various departments don't communicate.

I'm sorry this is such a hassle for you. I like to have my vacations paid for, too. I have a friend who took out a loan to pay for her honeymoon last year...and they're getting divorced this year. The honeymoon isn't even paid off yet!!
 
Last week I called the front desk and asked for a fax number so that I could fax over a credit card authorization in order for them to charge our stay before our arrival. They told me that they can do that and sent me over the form.


I finally called to speak with their Rooms Director and I left her a voicemail. If she doesn't call me back or fix this issue, then I'm going to the GM.

Since they had a form available (yes, I know some unscrupulous person could have made it up, but hopefully, that's not the case), it probably did go somewhere at Vistana. There's a good chance that it's just a case of one hand not knowing what the other is doing.

Let us know what you hear from them.

BTW, on your part, I also agree that it isn't that unusual for things to be done the way you're talking about. I travel a great deal, and we sometimes fax the authorization ahead if we're using the company credit card, because our Business Manager doesn't let the company card our of her sight for the most part. We also mail checks to prepay at hotels. Additionally, we've had condo companies (that we rented for conferences) require a copy of both the credit card AND the drivers license along with the faxed authorization form.

If they had told me in advance that I couldn't do it then I would've just gone a different route and it wouldn't be a big deal. That is the point I would try to make by contacting their rooms director....the fact that I was told one thing, sent my info and now can't.

I am hoping nothing happens with it because cancelling a card attached to my bank account that I use for EVERYTHING is a huge hassle, especially having to wait for a new one.

I assure you that if you called our main office, they wouldn't recognize all the fax numbers in our organization either (and we're not that large). Hopefully, it will be okay.

I agree with your point. You were given instructions by someone with their company and now nobody seems to know what they're talking about. Somebody needs to clear this up for you.

As far as the card, canceling it and getting a new one is not a big deal - very easy to do. Speaking from personal experience when mine slipped down under the seat after I had it out, I called the bank, they checked the account and "flagged" the card, and I had a new one in a couple of days. No worry that way.

The form that they sent me was definitely a cc auth form -- Sheraon letterhead etc... It was a similar fax number to the number the front desk manager gave me -- only one number was different...same prefix, etc.. If they have the form, apparently they use it for something! I am going to call my bank and see what happens. I bank with a credit union and their "live" customer service is closed on Sundays. Not sure if I can get with anyone today but I am going to check. Thanks everyone -- I was trying to price out going with a Disney onsite hotel but the prices dont' even come close to the deal I got from Vistana so I'm just going to work through this and stick with what I have!
 
Well, reading everyone's posts I got nervous and turned off my bank card today. Nothing weird has come through so I think I got it in time.

I apologize for being onthe defensive earlier in the thread, I was just frustrated because it kind of threw a kink into things but I realize I will just have to get over it! Thanks again

Well that is one less thing to worry about then so that is good. As for being defensive I think it is hard not to be when your post is about one thing and then posters come on telling you that you are doing things the "wrong" way. I hope you get this all figured out!
 
I like to have things "prepaid" too. But what I do is put my vacation money in a separate savings account. That way, I can still reserve things with my credit card, etc. and pay upon arrival, but I KNOW the money is there to pay it off.

If you were paying with your debit card, it would have probably been easier to just keep the money in your account. Although, I know it is hard to not spend it if its there. That's why I put mine in a separate account. Then I can just do an electronic transfer to our checking account right before we leave for our trip.

I hope nothing bad comes of this. But you alerted the bank so that is good. We also bank with a Credit Union and I use my debit/visa card of a lot of purchases. But for online and hotel ressies I got a Visa thru the credit union we bank with. It has a low ($500) limit and what I use we can easily transfer from checking over into the visa account so it's covered. I just get too scared with identity theft nowdays! We live credit debt free also and LOVE it! If we want something we save up and pay cash for it. We live in Central Florida and have annual passes to the parks.
