? RE: multi-party trip.How do you book & pay for it?One person?

Ok, here's one for those of you who have done large group trips.

If you have say....4 different family "groups" going,each paying their own way, but they all want me to make the arrangements, can I book each group seperately and have the bills sent to them, or do I have to pay for it and get re-imbursed by them? And if I have to pay for it, is it broken down by groups on the bill or do I have to break it down for each group? Thanks.
 
I am booking 3 rooms for family in Nov. I am paying for each room. I am going to have everyone pay me before the trip. I will just let them know what the cost is for their room.

We don't have a package so we could pay at check-in but I want the peace of mind to know that everything is taken care of before we arrive.

I think this will also help if someone cancels, my cc will be the only one that Disney has to deal with. It can get complicated with too many credit cards in the mix.

It can get very confusing if things are planned separately. I would definitely make sure that everyone communicates well and setup guidelines prior to doing everything. Discuss when things need to be paid and such....I have been burned in the past by family members who shortchanged me and it was so such a stressful experience, I almost didn't enjoy the vacation.
 
No matter whether you're dealing with packages or room only, there's a window in which you can pay your deposit.

I think it depends.

I went with a group of 6 people a while ago, and my now fiancée and I took care of all the arrangements. We paid, and were reimbursed by everyone in our travel party - but we also weren't dealing with Disney. We were staying at what was then the Courtyard by Marriott near Downtown Disney, so EVERYTHING had to be paid up front.

If I had it to do over again, and I was working with Disney, I would pay MY deposit, and then give the other people the address to send a payment, and tell them when the payment was due. They give you a 14 day window to make the payment, and I would take advantage of that.

If you have a grand gathering - I'd ask Disney. I'm sure they have some way of dealing with all of that in their system.

I am doing the planning for 4 families, including my own (16 people total). I made the room reservations for all of us. Each of the 4 rooms had their own reservation number. I had all of the paperwork come to my address and I distribute to the other families. Since it is a room only reservation, we only had to pay the deposit so far. I reminded each family to pay, I did not pay for all. Balance of bill is due at arrival and each person whose name the room is under will be responsible. Any charges made to the room will be that room's responsibility.

When it came to airfare, I kept checking for the schedule to open for our dates on Southwest. I had the other families' credit card information and when the day came, I just made the reservations online for each family.

For the transportation to/from airport, I reserved 2 passenger vans for all of us. A deposit was not required for the reservation.

As far as park tickets, we have not purchased them yet. But, I have already given everyone a list of the different options they may want to consider. I told them that they can be purchased at the Disney Store before we leave and I will just follow-up to make sure they do.

As far as any PSs, I think that Cinderella's Royal Table Breakfast and the Princess Storybook Breakfast are the only ones that charge a $10 deposit per person. Not everyone wants to do this, but I will put the deposit for all who do on my cc and get reimbursed later. I think any of the others (like HDD) only get the credit card information for the reservation hold and then you pay for it when you pick up tickets.

Summed up, even though I am doing all the planning, I have not or will not have to front a large amount of money that I have to worry about being reimbursed for later. I actually enjoy doing all the planning, kinda weird, huh??

Thanks. That answers what I wanted to know, if I'd get seperate res. #'s etc...for the groups or if I had to have it all on mine.....AAAACK! For some in the group, I know I'll be responsible for making all the reservations, but for others I'm just going to give them the info and let them take it from there.
