Pre-booking port adventures

we're thinking about pre-booking a port adventure (which we've never done) and had two quick questions.

- when is payment due, e.g. will they charge me now?
- what is the cancellation policy? we're traveling with a group of 1st time DCL'ers and they can't book for another month - so we don't want to book something and then they don't make the cut and we're stuck with two different activities for the group

You are not charged now, but when you're on the ship. You can cancel up to three days before your cruise begins with no charge.

Port adventures are charged to your onboard account. Generally in the first couple of days onboard. But, in my experience, can be charged on the actual day of the event.

You must cancel by 3 days prior to the start of your cruise to avoid being charged.
 
The charge will be on your onboard account, so you won't be paying when you book it. You must cancel no later than 3 days prior to your embarkation day.
 

Also if for some reason the ship can not dock at that port, you will not be charged for the excursion.

You will not be charged either if Disney cancels a Disney planned excursion. I've planned repeatedly the glass bottom boat tour at Castaway and have had the excursion cancelled the day of due to conditions every time (maybe will try for a 4th time this September).

Although the real rule is cancel 3 days before the cruise or you are committed, we have seen (rarely) guests able to cancel for various personal reasons. You can always approach the shore excursion desk if you and your friends have special last minute circumstances that you couldn't forsee; happened to us once, and excursions was great in helping us straighten things out, cancel one excursion, set up another. It was unexpected, nothing we thought we were entitled to, but a clear dusting of pixie dust.

You're safest if you consider plans set in concrete 3 days or less before the cruise. Then if things happen, never hurts to ask.
