Poly Concierge Pre-Trip Assistance?

I understand that at some point I should get paperwork to send to the concierge staff at the Poly for them to handle our PS requests, etc.

When should I look for this in the mail? Our trip is early October.

We always stay at DVC resorts. This will be our first, and probably only, concierge experience.

I didn't wait to get something in the mail from the Poly, I emailed them and they emailed me back a form to fill out. They have been great, very helpful! As to when to contact them, it depends on what you are wanting to do.

We recieved our paperwork about 90 days before our trip. I have also had them help me out since that time by email. Our trip is to celebrate my wifes 30th birthday and they were able to help me arrange a cake and some birthday favors to surprise her with the day of our arrival

I would also e-mail them. Don't wait to get anything in the mail. Somes guests get them; some don't. Mentioned on another thread, this is a pet peeve of mine. Either mail these out to all concierge guests or do away with them.

Even after requesting an itinerary planning form (AKL concierge) and told it would be sent, it wasn't. I found it easier to just e-mail them. They are great about getting back to me via e-mail.

Do not wait for concierge to contact you! We have stayed concierge level at several WDW resorts and concierge contact is NOT consistent. Some trips we've been called, had e-mails or had letters - but there has been no pattern on what we get.

I highly suggest that you contact them with your list of ps's and that way you will know. We usually get an e-mail confirmation.

Sometimes depending on how you book your trip they do not get your address to send the Personal Itinerary or a phone call. Many travel agents do not release your information to them and in other cases their computers do not interface well with the system at the Polynesian.

They also now have an electronic (word document) they can email to be filled out that is the same as the one mailed out. If you need a copy to fill out and email send me an email and I will send it to you.

I am two months out and have not gotten one in the mail. Only the electronic version but I have made all my plans by emailing them so there would be no reason for me to get one in the mail now.

We're 103 days from arriving at the Polynesian and this morning our "Personal Vacation Itinerary" arrived in the mail
