How do you deliver welcome bags to guests?

I am wondering what is the process for delivering welcome bags. I think we are only going to make them for guests staying on Disney property, as we will not have a car to take them elsewhere. Do we just drop them off at the front desks of the hotels our guests are staying at? Is there an easier way to do this?

You have to drop them off at each hotel. My MOH had a car and was kind enough to drop them off for me at each resort. For family not staying at Disney I just gave them the bags before we left so that they had all the info.

we took them to each resort. each bag we labeled with the name, reservation number and date of arrival if we knew all this. every CM we spoke to at the check in was very nice, NONE of the guests were told that they had a bag waiting for them. after our first friend to arrive hadn't recieved notification of the bag, we texted everyone to let them know to ask at the front desk. everyone did recieve it after they asked.

They really don't tell the guests? I had heard a few stories of this, but I guess I was kind of hoping that they would've gotten better. I guess I better let those in our room block know to ask, since I'm going through all this trouble to make them!

We didn't have a problem with 3 of the 4 resorts blocked. All of our guests got them at check-in or they were called or the bag was delivered to their room. We had rooms at the GF, CR, CSR and Pop. CSR was the only resort that did not give out the bags and our guests had to ask for them. At Pop they were delivered to our guests rooms, so there really was no excuse for CSR, a convention resort, to not at least inform guests.

we left them at pop, all star movies/music, wilderness lodge and somewhere else.... i don't honestly expect any CM to go out of their way to actually give them to people, but to not even let people know? also, every place i went, i was helped quite quickly, but easily spent 10 minutes at least explaining what they were, having the info i wrote reconfirmed with the CM - all very thorough and offical. still, i wold somehow alert your guests to expect them.

I totally agree, guests should at least be called. I was actually pretty surprised they were delivered, but thought it was a really nice touch. I didn't even drop them off so I guess my MOH was really thorough in her instructions, lol.

you should totally hire her out!

Sounds like kind of a pain... the problem is we are arriving the same day as most of our guests, so there would be no way we could get them to the hotels in time for check in, so I guess we would have to tell guests to go to the front desk and ask for them, which also seems like kind of a pain. Maybe we will stick to welcome folders and give them out before guests leave? IDK? Any advice?

It really is kind of a pain, and I was going to skip them all together, but wasn't sure how to get the info to everyone. I thought about mailing the newsletter to guests but was worried they wouldn't read it or bring it to Disney.

We are happy we did go the welcome bag route.
Everybody loved them and we got text messages as they received them to thank us.
Some had them waiting in their rooms, others asked for them at check-in.
I sent a mass text message saying something like:
"Hi everybody! We are so excited you are on your way to see us, please take a moment during check-in and ask for a special welcome packet we have left for you. We hope you have a wonderful stay!"

I waited until the day everybody was checking-in to send it, everybody felt special and surprised, plus the itineraries we added to the bags detailing where and when to find the buses made it possible to have every single guest at the bus on time, the van we had hired to pick up stragglers wasn't even needed :thumbsup2

We did have 2 days to drop the bags, we drove so we had put together the bags at home and all we did was drive to the resorts and calmly drop them off one morning before going to a park, very stress free and easy.

We drove to each hotel and dropped them at the front desk. The bags had tags on them with the guest name and reservation number so they could be either delivered or picked up at the front desk.

Most of my guests got them when they checked in or some even had them in their rooms already.

I was told by my wedding planner that if we want to do our own welcome bags, we have to drop them off with the Hotel Manager or Hotel Special Events Coordinator for each hotel otherwise they will get lost. She specifically said not to give them to just anyone at the front desk or bell hop as the probability that they will get lost/forgotten is high.

So, drive around to each place, talk to each manager, label them with more information that you think necessary, and hope they make it. :)
