Going with a group tips- In this case Dance the World

Like many on the Dis we are a family of informed trip planning crazy people. :) My two DD are participating in Dance the World in June, and I am looking for some tips or tricks that differ from a normal individual planned vacation from those of you who have either attended Dance the World or gone to WDW with some other type of youth organized event.


I'm already struggling with not handling everything myself such as reservation, etc. but this not having a very detailed itinerary and not knowing exactly what to expect is killing me. Like the gala dinner, seems super pricey but will I be bummed if they miss it?
 
What timing! I am thinking of tagging along with a friend whose daughter is doing Dance The World (in July though) and I just haven't been able to commit to the reservation yet because I know how different this trip would be (I would technically be going alone and meeting them there). I know my friend was on the fence quite a bit about the Gala (the price!), she finally decided to go for it and was put on the wait list so if you think you want to do it don't wait too long!!
 
The Gala is $84 a person, so a $336 decision. Have we spent money on other things like hard ticket events or Desert Parties in the past, absolutely, it's just hard to justify since we are on a tight budget this trip, and it means one more event that will eat up park time.

The other option is $199 and includes the gala, 5 QS vouchers and a mug per person. Not a bargain at all for my kid's who primarily order off of the kids menu. Even an adult QS meal is less than $18 on average. I wish it was a "deal" since we are already spending so much money.

We are even renting a car and driving for the first time since air fair is so high.

UGH, so different then planning your own trip where you budget and save and then book, etc.
 
Yes, she decided no meal plan as it just didn't seem worth it so was making the Gala decision based on the 6 people in her family at the $84 price. Ultimately, it may be out of her hands since they were wait listed. She said only one family from her daughter's dance group got into the Gala, the rest are on the wait list. I just watched the little video on the Dance The World website and the Gala does look cute but not sure I would want to pay that much for a buffet meal with what looks like a lot of people (even though they obviously cap it, thus the wait list).
