Getting you money back for one person in your group

My husband may be called to go on a business trip on our Disney dates. We don't want to cancel our trip since we will loose the money we have spent for air fare plus the kids would be pretty upset. My parents are still going with us so we may just have to cancel only his part of our package It is still up in the air if he will have to go or not. How close to our trip can we get our money back for his tickets plus disney dining?

We can not change our dates since we will lose out on close to $3000 for our air fare. That $50 fee to deduct one person can that be done as late as say a week from our trip? He should know by then.
