Complex room request issues...... thoughts?

Well the room requests them selves are not complex....... just the situation...

The room requests are....... first floor or elevator building for medical reasons and also both units be near one another.

Okay 9 months ago I booked Dec 8th-15th at OKW, two 2 bedrooms..... I then went on the wait list for December 7th about 2 weeks ago (for two 2 bedrooms)...... And as a back up I booked via CRO two 2 bedrooms thru their speical request number (I never knew they had one! LOL) because of the above requests...

It is very important that we get at least one first floor unit or an elevator building.... (grandpops can not walk up stairs.... ) and kinda important that the two units are near each other since we are traveling with my BIL and their daughter has downs.... they are very nervous about this trip and want us close)

SInce the first day is booked via CRO's speical request unit(which is also been linked to the DVC ressie) is there a better chance of us getting our requests...... coz if the waitlist comes through, that ressie was only made a couple of weeks ago....... Does any of this make sense???

I guess what I am saying is it is worth it for us to pay cash for the first night if there is a better chance our requests will be met...... Or are they really good about handling first floor requests, despite when they are made.

Quite frankly if we dont have a first floor for grandpop, we are totally screwed. Totally.... no way, no how, he can walk up a flight of stairs...... (BTW we are renting an ECV or is it ECV for him to tour the parks and OKW)

It is my understanding that medical related requests take precedence over all others. I would suggest you call MS to make your requests and express your concerns. They are usually very helpful with requests such as yours.

If the MS CM is not able to put your mind at ease ask to speak with a supervisor. Also, you may wish to call OKW a couple of days prior to your arrival to express your concerns to the front desk manager.

I replied to this note earlier, but it disappeared... Anyway, let's try again.. We have requested rooms close together before and have always had that request honored. They may have not been 'next door', but they were always in the same building group... If your father has a medical requirement for 1st floor/no stairs make sure that the CMs know about this. From what I understand, medical needs are filled first before anything else. Your BIL may not be on the same floor, but as I said, they should be in the same building.

Make sure you explain all this to Member Services and they should be able to help. I, personally, don't think that paying for cash will guarantee your requests any more than anything else. As long as you are being open on which building you get and make your requests simple, which is sounds like you are, they should be able to accomodate you just fine.
 

I am confused--what else is new, LOL!, but do you now have the villa for the entire time with pts? If so, I would just use the pts and cancel the $ reservation. You certainly have valid medical reasons why you need a 1st floor room and rooms close to each other. I do not think a cash reservation would have any more clout than a pt reservation--medical needs always come first no matter how the room was booked. But I would definitly call MS and make it known what your needs are and why.
 
Thank you all for making me feel better.... I will call a couple of days prior and fax them just to be on the safe side..... I would hate to show up and say Sorry Gramps..... your SOL.......

No Deep I do not (as of yet) have the first night on points..... on the waiting list, but would have gotten off the waitting list if my chances were better of getting the first floor room by paying cash..... sorry for the conffusion.....

As long as you follow the above advice and don't arrive too late at night, you should be fine. These are easy to satisfy and very reasonable requests. Good luck.
 
Your confirmation should say "first floor and rooms close together for medical reasons" or some very similar language. If they do, you are all set.
We have been told many times that medical requests are filled before any others. We have also been told that although nothing is guaranteed, a medical request is almost always going to be filled (especially since there are a lot of rooms that would fit your request).
We've been members of OKW since 1993 (going at least once a year) and only one time we didn't get first floor. That was in 1993 and right after that they started putting the medical request info in the computer. I don't think being on "cash" would help you any since my understanding is that they always fill medical requests first anyway.

Well...... we are arriving around 1030 or 11 PM. Lets hope that is not too late :(

This is always risky no matter what method they use to assign rooms. Remember all those people that arrive ahead of you will be able to complain and get the rooms the assigned to you. I'd call the manager on duty a few hours before arrival, maybe around 4 pm.

As long as the medical wording is on your confirmation letter, you won't have a problem. If the letter doesn't say anything about medical requests, then call right away and get the wording on. That's how they handle special needs at DVC. If you want to call ahead of time, it won't hurt, but as long as they have you in their computer as a medical need, you will get preference for assignment. We've always been told they do not re-assign medical needs rooms if someone ahead of you complains.

We've gotten there as late as midnight or 1am and not had a problem. Other people with disabilities have had the same experience as we have.

If you want to have a guarantee of a first floor room, you can request a handicapped accessible room. Some have roll in showers; some have tubs with grab bars. If he needs an ecv to tour, chances are he would benefit from the grab bars and raised seat toilet too. Wheelchair accessible rooms are always pre-assigned and are guaranteed.
