Can I check in for others in my group?

We are going to AS Music in October with a group of 19 people and 7 rooms.

I will be getting there very early on our check-in date to make sure we get our "guaranteed" connecting rooms (because as I have read, nothing is truly guaranteed, especially if you're one of the last to check in).

Since we are traveling together and are grouped by a Grand Gathering number, and everything will be fully paid for, does anyone know if I might be able, with a letter of authorization or something similar, to check everyone in for all 7 rooms and make sure we get rooms in the same building at least?

Some of our group will not be getting into Orlando until pretty late that evening and I would like to do what I can to ensure we are close to one another, especially since one of my sister's kids will be staying in our connecting room with my kids. In addition, one family in our group who will be getting there pretty late has "guaranteed" connecting rooms because my friend's elderly mother has diabetes and Meuniere's (sp?) disease and will be in the connecting room.

Has anyone ever been able to check in for others in your traveling group?

I've done this twice with my in-laws. Granted, our group was not as large as yours but here were my experiences -

First time - we arrived earlier in the day at Fort Wilderness Cabins. Checked outselves in and then asked to also check in the in-laws who were arriving later that same day. Not a problem except their cabin was clean, ours was not. The Cast Member switched our two parties around but would not give us the unclean cabin number until it was cleared (we ended up being right next to each other). I was given all the room keys and two sets of information.

Second time - we arrived a week earlier at All Star Music. On the day of my in-laws arrival, I went to the front desk and asked if I could check the in-laws in. No problem whatsoever and we had connecting rooms there (not guaranteed but adjoining was requested). Again, given their room keys and extra information for them.

If you are linked in the system, you shouldn't have any problem. Just try and keep everything straight with the room keys. You might want to take separate envelopes or something for each party. And if they want charging priviledges on their cards, they will have to do that themselves once they arrive. You can initially set them up as "pay as you go" and they can change it later.

Thank you SO much! That is great news. Everyone will be so happy if we can get their keys for them. Also, I thought I read that they put everyone's names on their keycards these days?

if you are a "grand gatherings" reservation, they usually try to assign those in the rooms that they are going to be in 3 days or so in advance. the large groups usually get preference, so you actually may be able to call the resort itself a couple days in advance to make sure that you are all grouped together.

at the same time that you talk to them about it, you could ask if you could be the one to check in all of the rooms for the rest of your group.

PS: it is true that everyone gets their own card now, with their name on it.
before it was all with the name of the person who made the reservation. my card would have my husband's name on it, and then when i would try to charge to it at the parks i would be questioned on the name, even though my signature was on the back. i guess it makes things easier with the extra magic hours, if everyone has their own name on it since it serves as a resort ID also.
