Attending HDDR with Food Allergies

We will be going to the HDDR in Dec. When should I contact the special diets area to work out what they can do to accommodate the people in our group with food allergies? Thanks!
 
First, I would head over the the DISabilities Forum. Those folks know a lot more than I do about Disney with allergies.

I always notated my DGD allergy when I booked my ADR's and then advised the CM upon checking in to the restaurant. The Chef always stopped by the table to make sure we odered what was safe for her. HDDR is a AYCTE meal, and I am not sure if there are items available that are not on the menu, so I do think it is best to be prepared to enjoy a limited selection unless the chef can manage to pull a meal together from what I on hand.
 
When should I contact the special diets area to work out what they can do to accommodate the people in our group with food allergies?

1) Have it added to your ADR/Ressie.
2) The SEATER (podium person) will have it called to the attention of the chef.
3) The chef will then come out and discuss with you.
4) If your allergy is a common one.
. . . examples of common allergies: Gluten Free, nuts, dairy
. . . there are pre-planned meals to fit several allergies
. . . the SERVER would give you the options without a visit from the chef
 
Last year we did SOA and had the allergies noted on our ADR and the CM who took the ressie said they would work with us when we arrived for the show. Basically one person has a dairy allergy and the other can't have salt so needs some type of unmarinated meat and either fries or potatoes and steamed veggies. When we got there the server and chef told us we should have called special diets beforehand but they would do what they could and it worked out fine. I figured to avoid an issue at this show that I would call special diets but didn't know if this is too far out or not.
 

I called and had them note the allergy on the reservation. Gluten is a common one, but the chef was at our table as we got sat down. He brought him his own corn bread and butter and then gave him lots of options. My son doesn't like fried chicken (they had a gluten free option!), so he asked for grilled chicken. Then they talked about which sides were safe and he offered him other options. He also got a huge platter of gluten free brownies with chocolate sauce and whipped cream. He loved all of the attention! With Trails End next door, they have a variety of options depending on what you are allergic too. The chef hand delivered all of the items to him.
