The military family will be able to get the 4 day tickets with either park hopper or water parks and more for $138 a piece. They could also book two rooms at the value resort for 30% off(or 35% off a moderate or 40% off a deluxe). If you would be willing to have two of their children registered in your room that would help keep the cost down. I would think at least one of the kids would need to be sleeping there. They can also buy additional adult tickets for 4 days for $327 from Shades of Green. So tickets for the entire group would run, $828 for the military family and $981 for family one for a total of $1809. Two room at a value resort would be approximately $485 for 5 nights. This would leave a total of $1206 for food.
 
Standard view Pirate rooms are available for your dates. Undiscounted price would be $855 according to the Disney World website. There might be AAA or AP discounts for those rooms but $855 is the maximum you would pay for the 3 of you.

Then add tickets. Three adult 5-day MYW base tickets from Undercover tourist, with Express 2-day delivery would run about $775 if you go thru the Mousesavers newsletter link. Tickets with fewer days cost the same and they just give you a "free" day. Don't even consider hopping or the WPF&M option.

That would leave you with $370 for gas, food and souvenirs. It's not a lot but it is doable if you're not driving too far. Pack a cooler to bring some foods with you and limit yourselves to counter-service meals. Just one table-service meal onsite would put a big hole in that budget.

We are staying 4 nights....booked and have money left over, so we're good.

The fort is great for any one adventurous and prepared. Tents, sleeping bags, and all the goodies to go with it can cost an arm and a leg. A decent tent is around a $100 or more, and all the other stuff could easily add up to $300.

When camping at the fort, you can have as many tents as you want, as long as it fits on your pad. Do not underestimate how much space is available to those who use it wisely.

Grand villas don't offer any discounts, if they do, it's very limited. Three rooms is a crazy high price for regular rooms. Staying onsite has very limited options for large groups. For a few years I tried to figure out accommodations for when my aunt visited. My sister comes up with her brood, my aunt and grandmother, and my mom... Disney just isn't going to happen (and I was a CM at the time too, so I had the biggest discount available). So she rents a villa off 192 for a reasonable rate per night. There's enough room and space for the kids (with a few on the couches), for every one to sleep at night. Plus they're not as stringent with their per person policy.


Bricket: Glad you found something to fit your family needs. It's not easy trying to come up with something for some one else's family, especially a large group like that.
