I am the main person in charge of student records in my office and have the key to the file cabinet. When I take a day off, I usually leave the key where the other office workers can get to it if needed. But more times than not, when I return back to work, the drawer is left open, sometimes with the key still in the cabinet. If any file is lost, I will be the one in trouble - Any suggestions?

I'd give the key to my boss and explain your concerns to her/him, so s/he knows specifically who goes into the file drawer in your absence. That way, if something is missing, your head isn't on the chopping block. If the boss doesn't want the responsibility, I'd find the most trustworthy co-worker in my office to give it to.

Then I'd send an e-mail to my co-workers (or have the boss do it) explaining where they need to go to get the key when you're gone.

Narrows down who the guilty parties are!!!
