Extra People In A Room

HI there!

My husband and I are planning to go to Disney in November with 2 friends. My second friend is not going to be joining us until about either the last day or last 2 days (we are doing a cruise right after and that's really why my second friend is going). We are planning on splitting the cost of the room and are trying to figure out the best way to make the reservation. Should we reserve it for 3 people and then call ahead and let Disney know an extra person will be going us and that they can charge us the extra amount for the last 1 or 2 days? Or should I reserve for 4 people and get a refund when the extra person checks in? Is there an easier way/ better way to do this? We don't want to do this at the front desk when our friend flies in because we want him to get the magical express.

Unless you want magic bands for everyone in advance, reserve the room for 3. Then when your friend arrives go to front desk and add 4th person (they can get a mb at check-in). That way you are only paying the extra per night charge for the 4th person in the room. Disney charges extra for each adult over 2 in the same room.
Edited: just saw you didn't want to do it on check-in day for friend--on your check-in day let them know that you will have someone arriving and date of arrival. Then they can add them to reservation. Then your friend can use ME.

But if your friend wants Magical Express, they need to be on the reservation before they show up. Otherwise, no Magical Express.

They can add the person when they check in since the last person won't arrive for a few days. They can then use Magical Express.

What we have done ............

Make the reservation for 3.

Calling ahead will do nothing but get them added for the full trip.

You can book the 4th person FP+ at 60 days if you are connected via Friends and Family even if they aren't on room.

On arrival for your check in, tell them you want to add the guest for XXX nights AND you want them added to ME for their arrival day.

Front desk can enter them in the system.

Have done this many times when DS joins us later.
