Cancellation Question

I posted on another thread that there is a possibility that my son's girlfriend will not be going with us on our 2/13/05 Wonder cruise (long story). We will not be able to substitute anyone for her (cost prohibitive).

Do I have to advise Disney that she will not be traveling with us? If so, how far in advance?

The sooner the better ... that way you can cancel one of the two rooms and maybe even same a few bucks that way. The longer you wait to do that, then the less money you'd get back from the cancellation.
 
We are sailing in 32 days. I don't expect to get anything back if I cancel the girlfriend. I'm sure they aren't going to let me out of that extra cabin and give me money back.
 

Here's what the DCL terms & conditions say:

Cancellations/Refunds

Cancellations must be made by telephone or in writing. Changes to the vacation commencement date or changes of Guest names will be considered cancellations. If the cancellation request is received 60 or more days prior to the vacation commencement date, 100% of the amount of the vacation price paid will be refunded. Cancellation requests received less than 60 days prior to the vacation commencement date will be assessed cancellation fees as follows, regardless of resale of stateroom or hotel room:

"59-30 days prior to vacation commencement date, deposit amount per Guest

"29-8 days prior to vacation commencement date, 50% of vacation price per Guest
"7 days or less prior to vacation commencement date, no refund

No refunds will be made in the event of interruption or cancellation by the Guest after vacation commencement date. All appropriate refunds will be made directly to the Guest's credit card account or through the Guest's Travel Agent if the reservation is made through a Travel Agent. Disney Cruise Vacations is not responsible for the receipt of refund monies by Guests from their Travel Agents. All travel documents including airline tickets must be returned before refund processing can begin. Certain Travel Agents may withhold an agency cancellation fee. Disney Cruise Line reserves the right to restrict any changes to a reservation. All changes are subject to availability.

Please note that changes made to overall party size may result in a change to the rate. For your peace of mind, we recommend the purchase of the Disney Cruise Vacations Protection Plan. Insurance is not in effect until final vacation payment is made. Payment must be made at least 60 days prior to vacation commencement date.

So I believe the OP can cancel the DGF and basically lose the deposit amount. If she waits until day 29 then she loses 50% of the cruisefare for DGF.

If she cancels the 2nd room, I'm guessing she pays the "going rate" to add a 3rd person to the 1st room, and loses the deposits on the 2nd room and the rest of the 2nd room cruisefare could be applied to pay to add the 3rd person to the 1st room. If there's any money left (there should be) then it would be refunded (or can you ask them to apply it as stateroom credit???).

I think it's worth a call to DCL or the TA to find out what kind of savings you'd get by cancelling that 2nd room.
 
I would cancel the extra room and move to the room with DS and DH. You're still more than 30 days out. You'll lose some money, but not as much as if you wait. You've invited the girl, said you'd pay, and now they've broken up. Oh well. Both DS and GF are old should be old enough to understand that certain decisions have repurcussions. So you'll have a family vacation. I would never take a friend or GF/BF along...a horrible family vacation in 1974 with my cousin and her BF convinced me of that. My cousin stopped speaking to her BF within the first 6 hours...boy was it fun. Travel is supposed to be a chance to meet new people, maybe your DS will meet new friends if he isn't tied down to his GF.

Note that this has changed recently. So depending on when you made the reservation, you may be under the new rules. This is from the DCL Website (http://disneycruise.disney.go.com/d...sAndConditionsGrping#CancellationsRefundsTerm):

- 44-8 days prior to vacation commencement date,

Wow. Conflicting info on DCL's website ;) The terms & conditions I got was from going through the actual steps of making a reservation ... if someone makes a ressie on their website and accepts those terms & conditions (versus what they have posted elsewhere on the site) there might be some issues for DCL in the future. ;)

As long as the OP made the original ressie before the policy change (which was around last summer) the "old" refund policy would apply I think.
 
I made the reservation under the "old" policy. However, I don't think I'm going to cancel DGF's reservation just yet. Since I've already paid in full, I'm kind of leaning towards keeping the connecting cabins. If the girlfriend doesn't come with us, my son can have one cabin and my DH and I will have the other. This way we have more room and we will have two bathrooms. If the DGF decides to come with us at the last minute, it won't be a problem.

BTW - his mood was much improved yesterday and they did speak on the phone last night - so who knows how this is going to go.

Per Murphy's law:

If you cancel DGF then DS will immediately reconcile with DGF and insist that she come along so that you will then have to re-add her at the much more expensive going rate.

I agree - the minute I cancel the girlfriend, they will reconcile. I'm going to wait.
