Booking multiple villas

Disney's computer programming changes last year resulted in all sorts of "glitches"--e.g., when you book more than one villa they "automatically" go on one "travel plan" and that prevents use of online check-in. I discovered a new one today.

(And MS, bless them, both fixed the problem for my upcoming trip, and told me how to avoid the problem in the future.)

Today, I discovered that Magical Express now sends travel packets only to one person on a travel plan. They will not send duplicates to others on the travel plan. They do send sufficient luggage tags for everyone on both (multiple) reservations, but all in one envelope with only one "check-in" ticket.

It's now the DVC member's responsibility to send the luggage tags to the other parties taking the trip. That's not great, but not so bad. What's "bad" is that only one "villa's worth" in the group can bypass the (always loooooong) check-in line at ME at MCO because there's only one travel packet.

I called to get a second one for the family I'm taking over Labor Day...they're coming in on a different airline, from a different departure city, at a different time. MS told me ME will not send multiple packets. One of the two of us would have to stand in that line to check in as only one of us could have the travel packet that allows one to skip the check-in line.

I rather melted down (altho I think I was nice about it). Did tell the VERY nice CM who helped me that maybe my stress over this could be attributed to day 4 of 100+ degree high humidity weather (it's AWFUL outside!), but it just seemed to me that it's wrong, just plain wrong, to institute a system that requires one traveler to stand in a 15-20 minute line prior to getting on the ME coach...

The CM was incredibly sympathetic...she explained that the "one travel plan" system prevents multiple ME packets and there's no way around that. But she did tell me that in the future to avoid this problem I should just tell MS when I'm booking that I want separate travel plans (totally separate reservations).

I do believe this CM went "above and beyond"...I'm so grateful to her! (I even stayed on the phone to respond to the survey and signed up for a phone call so I could tell Member Satisfaction how great she was)...I didn't scream and swear, and I did say that I was probably overreacting to this difficulty--after all, no one had died and there is a way for the second party to get on ME, albeit at the cost of standing in line...I also told her that my stress was no doubt greater because of the weather so many of us are enduring, and that I know I shouldn't have been complaining to her...instead I asked her to put me through to the person I should complain to--told her that it was such a failure of "disney magic" to institute a system that prevents online check-in and now also makes it more time consuming and annoying to use ME...that's when she put me on hold (with my permission)...I thought she was going to get a supervisor or a Member Satisfaction person so I could register my unhappiness with "the right" people...

Instead, when she came back on, she had solved my problem--she had switched my second villa reservation to a separate travel plan, and thus triggered ME to send a travel packet to the family I'm taking to Disney next month. And even more importantly, she came back with information on how to avoid the problem in the future--simply tell MS when booking that I want separate travel plans/separate reservations. Easy-peasy. But who knew you had to do that to preserve your online check-in capability and to make sure your guests get their own ME travel packet! I was SO thankful.

Anyway...this is probably too long-winded. Really just wanted to share that anyone who's booking more than one villa for the same trip can avoid all the online check-in, ME problems that come w/two villas on one travel plan by simply requesting that they be booked as separate reservations on separate travel plans...

And hurray for MS and their "above and beyond" help for me this morning!
 
Thanks so much for sharing your discovery. The problems you encountered with the single travel plan would never have occurred to me until I was in the same ME "boat" you were in.
 
I've been thinking about requesting separate reservation numbers for our future reservations. We had some problems that the system cancelled my husband's KTTW card at our third segment after they closed the account for our second segment. It had something to do with family members leaving after that segment. It didn't affect my KTTW card because I made the reservation. I don't really want to have to waste vacation time dealing with these sort of problems.

Besides I like to do online checkin and you can't with segmented reservations even if the segmenting just means a split stay.

You have raised a question. You don't have to stand in line for ME at MCO if you have a DVC reservation? Don't want to hijack your thread but if you could fill me in on how that works.

The ME check-in process at MCO is not DVC-specific or related...the process is the same whether you're on a DVC reservation or a CRO reservation...

If you have your ME packet, you bypass the check-in counter and go straight to the podium where they "sort you through" to the line to the bus that's going to your resort...

If you don't have your packet, you wait in a check-in line and you're checked via the people at the counter, who then send you on to the podium...

Conceivably it could take less than 5 minutes to check in at the counter--but I've never ever seen it w/out a fairly long line...have never waited more than 15-20 minutes, but have never seen the line noticeably smaller than that.

I've always been getting ME information for others in my party even though we don't live anywhere near each other. I've just cut out the appropriate little ticket and luggage tag and mail them to my friends/family. No one has ever had a problem.

I've been doing this as well and have never had a problem either.
 
In our experience, it certainly works in terms of getting "the other people" on to ME...but does not allow them to bypass the counter check-in...my DS routinely travels w/out his packet (that's just my DS) and so he finds he has to stand in the line to check in at the counter before he can go to the podium to get to the right line for the ME bus...

Plus, when I described my problem to MS this morning, they agreed that to avoid the line a person would have to have the ticket in the booklet...(and they did say I could copy the booklet--but that is a process that would take even more time (for me; I don't have a scanner or a copier that will accommodate a booklet) than standing in the ME check-in line...

Sometimes my DH has the booklet and all I have was the little ticket, a rectangle that I've cut out of the booklet, and I've never stood in the counter line.

We just did a grand gathering with four different sets of flights...I just sent every one their luggage tags, and cut out the coupons and mailed them with the luggage tags and NO ONE was required to stand in line...just showed their little ticket at the podium. This was March...did they change the system since then?
 
It seems the best way to avoid this if booking multiple villas with people coming from different places is to make one reservation in your name with your address and the other in the other person's name with their address.

Am glad to know about not standing in line for ME - have always gone to the counter (never more than a 5 minute line) even though we had the booklet- didn't know we could bypass the line.
 
Can someone advise me how this info will affect my situation? We have 4 villas booked. Some of us will ride DME because we can't fit everyone and their luggage into 3 minivans. The 2 bedroom and a 1 bedroom each have their own reservation number. The GV and another 1 bedroom share another different reservation number. 20 of us are on the same incoming flight but one person in the GV is arriving 2 days later and that person is coming on a late night flight so he will use DME. What do I need to do to get the DME tickets straight?
 
You just need to tell them when you call about DME which people are coming in on which day and what the arrival and flight info is. I have done this and it worked out fine. We have a reservation in Dec which is simpler in that there are three who will use DME and 2 that won't. Good luck - sounds like a fun trip

Thanks for the help. From the info on this thread I am not sure who will get the DME stuff in the mail since we have 3 reservation numbers even though we are all together and have a grand gathering number. We have birthdays to celebrate together in Sep. and our trip is in Oct. but I doubt the DME stuff will be mailed in time for us to sort it out at the birthday gathering.
