3 weeks before trip: when to arrange in-room sitter

We are planning on leaving the kids with an in-room sitter for an evening while we have dinner at the Brown Derby and enjoy the EMH at HWS. We will use either Kids' Night Out or the Fairygodmothers. When do I need to arrange this? It's Monday, May 12 that we need someone.
 
We called one or two days before when we were more certain of our plans. We used Fairygodmothers and the kids LOVED our sitter even though she did not bring the bag of fun for them :( Will definitely use them again!
 
Thanks! Did she say why she didn't bring the bag of fun? New goodies are always a sure hit with kids. I think we just need to make a decision as to what time we are going to return to the room. We have our dinner ADR, so at least we have that to work from.
 
I don't mean to hyjack this thread, but how much do the Fairygodmothers cost, compared to the kids clubs? I am trying to decide which to use. With three kids, the costs add up quickly!
 

I just called Fairy Godmothers to inquire about my DS's. They said it is 16.00 an hour for up to 3 kids with a minimum of 4 hours and there is a travel fee. For us staying at the Pop it was 14.00 for a total of 76.00.
