Soooooooo, hypothetically

You schedule an informational meeting on an issue that may or may not be of interest to the 60 families that will be affected (there are always those that just don't care and say do whatever you think is best). You give them 2 weeks notice of the meeting, and send out 2 reminder emails. You ask them to email with questions or concerns to be addressed if they can't make it.


Special Guests are brought in to share their experience and answer questions to facilitate discussion and decision making. The meeting is 3 hours long with a lot of discussion, both with the the Guests brought in and then after they leave. Representatives from 11 families attend. Yep, out of about 60, 11 bother to show up.

A final decision on the issue has to be made within 3 weeks after the meeting and in that time is a major holiday. An informal vote is taken of those in attendance and the decision is an overwhelming majority in one direction. Now, 2 days after the meeting, emails start circulating from some that didn't come that they think another meeting needs to be held because it isn't fair they weren't there, and since so few attended there should be another chance for people to be involved in the discussion/decision.

Do you schedule another meeting?





(and this is over NOTHING earth shattering, just concerning a sport league organized just for fun)

Yes, but I would reserve the right to be snarky about it and CLEARLY say that this is the last one and a sticking vote WILL happen at the end of the meeting. And it will be extremely convenient for me.

Been there, done that. We go with the rule of three - schedule at least three meetings at different times to be convenient for anyone's schedule. After that - too bad, so sad.

Three might be too much for what you are doing. I agree with Handbag Lady that you could schedule one more and make it final.

Of course, there will STILL be those who aren't happy.

Who are the alledged email complainers? Are they emailing you directly?

Perhaps if it is just a couple of people you answer their questions with a few emails.

I mean how many people are actually complaining for another meeting? You need a head count.

Plus I would hem and haw a bit and not cave right away. It might generate some interest or outrage, either way it is publicity your way.

Since it's nothing earth shattering then no. They had lots of time to email about not be able to make the date you set ahead of time. If they had done that then I'd have said have 2 dates so that most people could make it.

For now. Too bad, so sad and they'll learn to get back to you next time.

Nope, I wouldn't schedule another meeting. You gave them ample notice and multiple reminders. If it wasn't important enough for you before, it's not important enough for me now. Guaranteed you'll only get another 10-12 at the next meeting and someone will still be unhappy.

Better yet, reschedule the meeting and have the Geico eyes on the podium, in your place.

I'm with the no's here..you gave them two weeks notice, if it was something important enough for them to be involved with and think they needed to have input on, they could have made arrangements or contacted you BEFORE the meeting happened.

No, I would not schedule another meeting. They had plenty of warning and reminders. I HATE this type of situation. I equate it to kids not turning in homework on time and expecting to have a few more days to get it done--it was due on Tuesday, it is due on Tuesday--the meeting was on Wednesday, period. Do you get to turn in late work at your job???
