    There really isn't a best time. You'll have greater selection the earlier you book but not necessarily the best prices. In fact, if you're going during a low period, you may get better prices the longer you wait. Airlines drop their prices to fill the seats.

    Off-site accommodations for family of 7

    Summer Bay Resort. we just stayed in a 1000 sq ft condo with 2 bedrooms, 2 bathrooms and a full kitchen. It's offsite, but very affordable. We paid around $100/night (slightly less I believe). The 2br might be tight with 7 but maybe a cot or air mattress? We did that when our kids were younger.

    Priceline Name your own price??

    Since you cannot cancel, I recommend submitting a low-ball bid. Saving $5 per day is not enough to compensate for the risk of not being able to cancel if plans change for whatever reason. I've tried PL often, but have never found the prices low enough to compel me to take the bait.
