Guidelines for participants

DONORS:

The tree should be decorated, 2-1/2 to 3 feet (no bigger than 4 feet, please). Trees can be themed to the resort (ie “beachy” for BCV, “woodsy” for VWL), but don’t have to be.

Even a basic pre-lit tree works fine. It just adds a nice touch to the room. :thumbsup2

Under the direction of the resort coordinator, you'll send the tree to the resort (via UPS or FedEx) to the attention of the first person. It will then be passed to other members and shipped back to you.

My tree has visited WDW several times, even some years when I did not visit. :rotfl2:

You should include some ornaments, lights, extension cord(s), a list of families (in addition to the one on the box), an envelope for shipping money donations, tape and a marker. Optionally you can include gifts for each family and a return shipping label (prepaid if you can).

COORDINATORS:

You may also be donating a tree, but you don’t have to. (Although without a tree, you would have nothing to coordinate! :) ) We need a person for each resort who takes the names and dates of everyone who wants to share the tree. Coordinators then make a schedule/spreadsheet to create the lists that go with the trees to show who shares when.

Most coordinators start a thread and take names on a first come, first served basis. :thumbsup2

TREE FAMILIES:

PM the coordinator or reply to the RESORT thread to get your name on the list to share in a tree.

Pick up the tree at Bell Services on the day of arrival after 11 am. There will be a envelope for donations in each tree box to help with shipping the trees to and from the resorts.

Please drop the tree off on the date of your departure at 11 am with Bell Services for the next family. Cross your name off the list on the outside of the tree box. Many families also add an ornament to the tree.

When dropping the tree off with Bell Services, please point out to the CM who the next family that will be picking up the tree. Also, get the name of the CM who you left the tree with.

Occasionally, a tree is misplaced by a CM. Please don't spend your vacation tracking down the tree. Allow Bell Services to look for you!

NOTE: THE DAY YOU PICK A TREE MAY NOT BE THE DAY YOU ARRIVE. THE DAY YOU DROP OFF A TREE MAY NOT BE THE DAY YOU CHECK OUT. This is to share the trees with the greatest number of families.

Please PM me if you have any questions. Thanks for sharing in a little Holiday Magic. :santa::santa::santa:

I will again coordinate the BWV Holiday Tree exchange and due to the Business Center we are going to have stricter requirements about contributions for shipping.

The last family on the exchange should seriously consider using Uber to get to a Post Office to ship the tree back to me.

Thank you! Just start the thread, and I will link it.

Yes, shipping costs have gone up. I don't think the Business Center fees increased last year from the year before, but have they gone up this year? I had better look!

Way back when, it was told to me not to ship USPS because trees could get delayed at Disney's Mail Center. However, there is nothing to keep one from using different shipping methods for the two trips, or using Uber to drop off the tree at the nearest UPS store or whatever.

What an incredible idea!! We are new owners at AKV and would love to donate a tree and I can coordinate as well unless there is a usual to do it and would like to continue! :santa:

If you're going to coordinate for AKV, I will happily be the first person on the list! We'll be there 12/3 - 12/10

ETA: I'll be happy to donate to the tree cost as well.

I PMed the person who has done AKV the past several years. If she chooses not to continue, you can have the job. I will let you know. :)

Just a note for everyone sharing a tree: coordinators/donors usually do ask for donations towards the cost of shipping the tree to and from the resort. In addition, several DVC resorts have a business center, and all packages shipped to those resorts also incur a handling fee.

Would the last person using a tree be responsible for shipping it back to it's owner?

Yes, the last family ships the tree back. Ideally, the donor has provided a prepaid label, so all the person has to do is seal the box and either hand it to Bell Services or drop it off at the Business Office. If the resort doesn't have a business office (like SSR), the only shipping costs are the shipping down and shipping back labels from UPS or FedEx. The donor pays these, and there is a donation envelope in the box to help defray those costs. If the resort has a Business Office (like BLT), packages must be picked up and shipped from there. There is an additional package fee (either $5 or $10, depending on weight) that the first family and last family have to pay.

Donors can ship USPS, but you can't do a prepaid label to ship back. Without a prepaid label, the last family either has to go off property to a Post Office or shipping store or pay a premium for shipping through a business office.
