I've been compiling a list of those interested in joining in on the cost-sharing of beach chairs (2) and an umbrella for any stays at VB in 2009.

I am trying to keep the groups down to two (there were three in 2008 and it got a bit hectic). So while I can't guarantee at this time that I can fit you into the existing lists, I will do my best. Please post here on this thread or PM me if you are going to VB next year and would be interested. The list thus far :

Someone brought it to my attention that I only charged for 2 chairs (THANK YOU !)----need 4---so the price has gone up. I think the shipping will probably go up a bit as well. So just want to let everyone know what the projected price per person is as it stands right now :
Looks to be around $11 /person for chair swap. I do intend on coming to a mutually agreeable price that we can all also chip in on a gift/tip for the CM's. So this price will go up a little. I'm open to ideas and suggestions as always : )

Thanks guys for all your support/encouragement.

I agree with Rob...if the last person didn't want them, I believe VB CM's disposed of them. I was asked to leave specific information about this too with the 2009 list. I'm pretty sure one of the umbrellas didn't make it past mid August....it was falling apart.

You talk about a gift/tip for the CM's, but it seems (also?) appropriate for each of us to tip along the way, in case there are changes and to keep up the support for this?

I've added 3 people to the chair swap today ! As the list grows, spots will be become unavailable. So anyone interested, please try and let me know as soon as your plans are firm. I'm aiming for the end of Dec for closing the swap and officially collecting money and ordering the chairs/umbrella.

As for the tip. We personally do plan on tipping on our own maburke. But I just feel a group tip will make more of an impact on the CM's and make them more likely to agree to this in the future. But yes, I agree, if people can tip on their own in addition, that would be great. They are doing us all a great service by allowing this. We are all saving a good deal of money.

Someone PM'd me this past week and they weren't quite sure how the chair swap worked. I've been swamped at work and this is my first opportunity to reply. I figured I'd do it on the thread to all, so anyone else who might have questions would be able to see it as well.

I'll try to explain. I've researched some reasonably priced beach chairs (2) , an umbrella and a device to keep the umbrella in place in the sand.

I've provided the link to the chairs/umbrellas. You can see the prices.

Then I compile the lists of those wishing to share in the swap. I have 2 groups right now and I don't feel I want to make a third. So once all dates are full, if you tell me you want to be included and there are no openings, my hands are tied.

I then divide the cost of the chair swap (and I intend on adding in a tip for the CM's who are going to handle all this) and divide by the number of people joining in the swap. Last year's swap was around $11-$12. It all depends on the amount sharing and the agreed amount of a tip. We can all vote on that later on.

Once this is all determined, I begin collecting the money. I'll order the chairs and have them shipped to VB. I then compile 2 lists for the VB CM's. The lists will have everyone's name on them (so I will need real names vs screen names for the lists). When you check-in for your stay at VB, mention to the front desk you are part of the DIS boards chair swap. They will direct you to Bell Services where the CM's will look up your name and hand over your chairs. When you leave the resort, you will return the chairs/umbrella back to the Bell Desk for the next person on the list.

Doing a swap saves CONSIDERABLE amount of money---especially if you use them daily. Honestly, even if you use them 1 day, you are still saving lots over the resort's cost to rent. It's a great idea that I did not dream up----credit goes to starbox who managed the swap last year.

So I'm hoping this helps to explain the swap concept. And later on, we all will have to decide on a tip amount for the CM's. Alot of us feel this is the nice thing to do considering this swapping out of chairs and umbrellas has got to be a pain to the CM's. So it's our way of saying "thank you" to them. I encourage individual tipping as well --maybe on the day you return the chairs.

Hi Candace,

I know if you rent from VB directly, they will help u set it up. But our chair/umbrella swap is a little different. The CM's that work in Bell Services store our equipment in the closet/storage area in the main lobby. They keep a list of all our names. When u check in, you go to the Bell window and tell them you are participating in the DIS chair/umbrella swap and then give your name. They cross off your name....give you all the equipment, and for the remainder of your visit, you keep the chairs and umbrella in your room and are responsible for taking it to and from the beach and setting it up. I'm not sure if anyone would be available to assist you or not ? I know if you rent from Disney, you do so right on the beach (as opposed to the hotel lobby).

I know this might be an inconvenience and I can understand how it would be. You could perhaps call the resort and ask if they offer any kind of assistance with issues like this before you decide to join our swap ? Just keep me posted on what you'd like to do.

Awesome ! Glad u understand perpetualplanner. And honestly you're right. Even paying to be on two lists is a HUGE savings over what the resort charges.
Everyone keep posted because I'll be closing the swap list in the next 2-3 weeks and then working on detailed costs for everyone and we'll need to agree on an amount for the CM tip too. Shouldn't be much if we all give a few $. But I'm open to any ideas and suggestions as always :)

It's getting very near the time I will close the chair swap. Please everyone check that they are on the list. If you are on the list, and have changed your mind, PLEASE let me know right away.

I have calculated the cost of the chairs, umbrellas, etc and added total shipping :

Wear-ever backpack chair: 4 @ $29.95 each
Pinwheel beach umbrella : 2 @ $29.95 each
carry bag for umbrella : 2 @ $4.95
The SandGrabber (umbrella stake) : 2 @ $14.95

TOTAL with shipping of $54.78 = $274.28

We have a total of 30 parties sharing in the cost as of right now. That means it would be $9.15 each NOT including whatever agreed upon TIP for our VB CM's. We need to think about an appropriate tip for the CM's handling all thise. Keep in mind, they are storing and maintaining our swap lists for many months. If we all gave another $5 extra (for a total of $14.15), that would be $150 tip for the CM's for all the months they maintain and assist us with this swap. What do u all think ? If you all want to give more or less for a tip, please share with the group. I am open to ANY and ALL suggestions. Please let's all share our thoughts.

Thanks...sometime between Christmas and New Years eve I will close the swap and begin the process of collecting money and placing the order.

$5 sounds very reasonable to me. They will be dealing with this for months and we want to make sure that they're happy or at least not upset with the situation.

I think the $5 is a good amount. I also plan on tipping the person who delivers these to my room and picks them up. For those of you who have followed Maria's work in putting the swap together, the folks at VB were reluctant to support this due to some issues in the past. Having some extra tip money will help for those who want to do this in the future.

I haven't closed the thread yet because we ended up visiting NYC today. So now I'm behind. I have to work tommorrow, so I probably won't close the swap until Friday now.

But Lorali71.....unless I'm just too exhausted from running all over NYC in 20 degree wind chills......I see a delay with both groups. In group ONE, I can let you partake in the swap from 8/12 to 8/19. In group TWO, I can let u swap from 8/15 to 8/19. So I realize this isn't your entire stay, so let me know if you're still interested. As I said....I'll need to know by Friday.

I think adding tip money in is a good idea as well and plan to privately tip them too. We need to keep the CM's happy since they play a part in helping make this happen!

Maria!!!!! Change of plans for the third time!! My airfare just went down for my spring trip....got a $158 credit!! Now I am planning on VB in October. Can't call till tomorrow....can you put me back on the chair swap list? If its too late, thats ok. I'm planning for Oct. 11th - departing 16th.

Today is the day. Closing the swap. I've totaled everything up and the cost for chairs/umbrellas/holder/carry bags comes to $274.28 with the shipping included in that.

The $5 tip per person comes to $175 for the CM's. I came to that amount by multiplying 35 people x $5.

Grand total being divided among us all : $449.28

I did divide the amount of the chairs/umbrellas by 37. Two extra people because two posters are in both groups for their vacation. So they are paying twice.

The amount PER PERSON is $12.15 (includes everything even tip).
Those two people who are in two groups will owe double that ($24.30 each).

If everyone is agreeable to this, then I have to PM everyone with my address. That's going to take some time. I wasn't even thinking of that. :rotfl:


So please look for PM's. I'll need everyone to send me the amount listed before I can place the order please. So please check your PM boxes and make sure they are not full.

Hi....just wanted to add, that when you eventually get to the point where you are sending the check to me, please include a little note with your DIS name so I can check you off on my list. It will just make it easier. But I do need your real names (the name that is on the VB reservation is preferable), because I must supply all names to the CM's at VB. They only know the names on the reservation. So please include that. I really appreciate it. Listing your mailing hometown and state should probably be included as well. I think I'll list name and city/state on the master lists that I plan to fax to VB.

Some people are already emailing me with their info and I appreciate it. But if it's included with the check, it'll just make it even more organized for me.

Hi all....

Ok...got a return PM from someone who I have on the swap list who said they have no idea what I was talking about ? I'm confused now. This person did post on the VB Adoration thread. However, I cannot confirm or deny that they asked to be on the swap. I delete my PM's often (I'm regretting this now).

Also, Par8hed quit the DIS back on page 14 of the Adoration thread. Yet he added he was still interested at that time, in the swap and that his wife would contact me. I have never heard from either Tom or Robyn since. Anyone see posts from them anywhere on DIS ?

I could potentially have to take these 2 posters off the swap. And I'm getting nervous about others who I haven't heard from or seen post for quite awhile. Do I put a time limit on how long I have to wait to hear from some on the swap list ? This whole thing is making me a bit nervous.

Maybe people should hold off on sending money until everyone checks in ?? The amount that do not come through with this will affect our final price. If it's small, I'll eat the extra amount. But if it's a larger amount I just don't know.

Suggestions ???? What pops into my mind, is, if adjustments to cost have to be made, it will come from the CM tip amount ?

That should be enough time. I check the Dis multiple times per day, not everyone does, but that time frame seems reasonable.

My guess is, even though the list is closed, there will be some folks who want to get added. They could cover the financials for any who no longer want to participate.

Also, I have no problem throwing in more money into the "pot". You shouldn't be doing this at a loss. Just let us know.

Has anyone seen either milesjacki or pinktales on the DIS ? Both clearly indicate they want to be on the chair swap on the VB Adoration thread (page 16 for pinktales). When I check my PM's.....it appears both PM's to these DIS'ers have been read yet I have not heard back from them ? I'm afraid my PM Box may have been full and I missed something ??? Also....just a suggestion. But in order that we are all considerate of eachother, I noticed several people are returning their chairs/umbrellas the same day another is arriving. IOW, some swappers are back-to-back. I would think maybe these DIS'ers could communicate with eachother about their approximate arrival times ? So if a DIS'er is returning a chair on the 20th, and another DIS'er is due to start their rental on the 20th, I would hope you both would communicate and come to an understanding about the chairs. Anyone checking out, hopefully has the chairs returning prior to 11 am of that day, so the DIS'er coming in, knows the chairs will be there when they arrive.

Wilec....you PM'd me about the swap. Your dates were 8/27 to 8/31. I can only fit you for 8/27 and 8/28. Chairs would have to be returned on 8/29 for mickeymorse's arrival. I'd say returned by 11 am unless Mickeymorse anticipates a late arrival to VB that day ? But Wilec, if you are interested in just the two days (8/27 & 8/28), let me know and I'll add u.

I deposited all checks I had received this morning. Tine, won't be able to deposit yours until Tues due to holiday on Mon. Once they all clear, I will place order and then fax list to VB.

Some have yet to get their checks to me. If there is a problem but you're still interested, please email me, otherwise I will not be including your name on the list I fax to VB next week. I really appreciate it. It's just very challenging to keep all these names and groups in order and keep track of all the money. It LOOKS like if your groups are up-to-date on the first page that you might still have room for us in group # 2. We are HOPING to book for just 3 nights in August - from the 23-25. But I can't call to book it until next Friday. I called this morning to see if I could get a feel for the availability (I want an OVIR if we can) and she said they have at least one for the 17-24 (the first part of my ressie is from the 16-23 at WDW so she could look that far ahead since it's not in my booking window). She couldn't tell me yet 'cuz of the date if they had the 25 too. ANYWAY, I would be very interested in participating for those 3 nights if we can and if we get our ressie. If we don't get the OVIR then we'll try for the Gdn View Inn Room and then for a studio. So hopefully, between the 3 types we'll get SOMETHING. I'd like to have 2 real beds tho...so we'll see. I am just in hope mode for the next 6 days...

So glad to see your going to Vero Beach!!!!:cool1: Try to get an Ocean View Inn Room OVIR....they are direct ocean front! Well most, so if you get that be sure to request DIRECT OCEAN FACING WITH OPEN BALCONY. I know it sounds funny, but just a few have a partial view, most have direct ocean front. Also, some do have a closed balcony, thus the request for an open balcony. So excited for you!! PM me, I'll answer any questions you have!:beach:

Well, I am trying to think positively that we will get our room at VB when I call back on Friday morning. If not the OVIR then something...I hope I am not gambling TOO much! I found a great deal on flights with Air Tran yesterday so I booked our return date as if we will be staying the extra 3 nights at VB! It took some time and I actually had to book our ret. last nite & our flt DOWN this morning as they were loading the fares SLOWLY but I eventually found and booked for $130 RT pp direct (with taxes & all fees except luggage and seat assignments).:cool1: Now I really can't wait to book at VB on Friday! :)

I'm with you Maria, we're further up North and this winter has been CRAZY! I finally broke down and got a snow removal contract for my driveway, was shoveling it on a daily basis! Trying to convince the wife to take an impromptu trip down to Disney for Winter break (week after Valentine's Day) but she's not buying it since we just got back from 2 weeks at AKV during Xmas. Well, maybe if it snows another couple of feet...

Maybe like $2-$3 when you pick up and then $2-$3 when you drop off ?

I believe we are all keeping the chairs and umbrellas in our room for our stay ? This is what we did last year, so you are only tipping one time when you pick up and one time when you drop off ? I think if anyone wants to give more, that is perfectly fine and up to the individual.

Also....a question from me as well. With the money collected, I will order the chairs and umbrellas in a couple days. My question is.....how do I get the portion of the collected money for the tips to the CM's ??? Any suggestions ?

We all know you have handled this whole chair swap, and all really appreciate all that you have done :thumbsup2 , why don't you be the one to present the CM's with the tip. You will have the extra $ collected from everyone, then that way you dont have to try to figure out a way to get it to someone. You are going to be there in May (I think we are there the same time) so that is still early enough in the season. :) Just a thought.

Yup, the Disney resort. Can't wait for either VB or HHI! And while we're not going to WDW Feb break :sad1: the kids and I did convince my wife to take a 3-day weekend and go up to the indoor waterpark at Great Wolf Lodge in Niagara Falls :cool1:

If anyone's interested, I can email them a quick recap when I get back. A little easier for some of us Yankee types to get to then Florida.

I was prepared to order the chairs/umbrellas today but noone else at VB seems to know the protocol for this ? I wonder if starbox could tell me ? I just don't want to place the order and have it shipped incorrectly ? Does anyone recall how starbox handled it last year ? I spoke with Linda and then Bonnie (who is filling in for Nicole Fri and Sat). Neither could shed any light.

IMPORTANT UPDATE

I just faxed the final list to Nicole at VB. She was off Fri and Sat and I was told on Friday she would be in today (Sunday). Just called and they told me she is "out" today---maybe ill ?

Anyway....wanted to speak with her prior to ordering the chairs just to make sure everything was still a "go". I planned on ordering the chairs today. I spoke with starbox who has been VERY helpful. She suggested I address the chairs and umbrellas to the first two people of each group. That would be Tgan and dgaston.

So when you both check-in, please make sure you let them know there should be a very large package for you. Not every CM is knowledgeable about the chair swap. Nicole has been the go-to person in this last year and this year as well. I faxed Nicole my home phone number and cell number. So if anyone has any problems, the CM's working Bell Services will have my number.

Also, just a few guidelines....
1)please make sure to care for the items during your stay and leave them in good condition for the person folllowing behind you. Shake out sand etc.
Last year, we had issue with torn umbrellas. I need to hear some suggestions as to what we should do about that ? I have been thinking about this issue for a couple days. I considered holding back some of the CM tip money as sort of a surplus budget should any item become damaged beyond repair ? What do u think ???? If you all don't agree, that is fine. I understand. Just trying to plan ahead for damages.

2)Also, please do not add any items to the swap. Some last year added floats, boogie boards, snorkels etc. I am sure these were all good-intentioned, but it aggrivated the CM's. If you all go back towards the beginning of this thread when I first spoke with Nicole, you will see she and the other CM's came very close to not authorizing a swap this year. They felt there were too many issues with it. If anyone is disgruntled about something, PLEASE do not vent to the CM's. They are not deserving of it. They don't even HAVE to do this. Rather, ask them to call me and I will see what I can do about any potential problems. I actually have a daughter that goes to college only about 30 min from VB so if needed, if an item is damaged, she could replace it and drop it off at the resort. Please don't vent to the CM's. With a total of 42 parties in this swap, there are bound to be some issues. If anyone feels they would like my cell phone number, please email me : MiaSRN62@aol.com
I just ask that if you feel you need to call me, please do so only for urgent matters. I work crazy hours and sometimes I am asleep during the day. I rotate through all different shifts as an RN and it's not unusual for me to be asleep at noon because I worked 11 pm to 7:30 am. There will be some moments when I'll be at work and won't be able to get right back possibly. Again---work all hours and shifts (7 am to 3 pm; 3 pm to 11:30 pm and 11pm to 7:30 am). I never had a set schedule.
But if it is a serious matter, feel free to call. I will only give out my cell to those that feel they want it and email me. My PM box is just too full.

3) Please show appreciation to the CM's handling this. This can be via kind words, tips, cards...a box of candy....anything. I think if we make this a more enjoyable experience for the CM's (who are not getting paid to help us with this...they are doing us a favor), the swap will me more likely to be allowed again next year.

4) CM tip. I will have money for a tip. Nicole suggested a fruit basket from Edible Arrangements. Let me know if you have any other suggestions ??? I will probably be able to send a few baskets spaced out over the length of the swap (which spans from Feb to Nov). Any other suggestions....I'm open.

Now...do u all feel I should just place the order without touching base with Nicole ? I haven't spoken to her in like 3 months. I was mentally prepared to do it today.

Ok...another update from me.....

Nicole called me back since my last post. She explained she was working housekeeping today and the front desk didn't realize she was there.

She was nicer and more relaxed about the swap from our last conversation. I tried my best to put her mind at ease that we would handle this as smoothly as possible and she seemed very appreciative of that.


I ordered the chairs/umbrellas 5 min ago. Total was with shipping :
$276.86

Total I collected from you all :
$509.55


I was *thinking* about keeping aside maybe $80 as a reserve for any potential damages so we could replace anything if need be ? If u are all in agreement, this would still leave $150 tip for the CM (to purchase the fruit arrangements or whatever else u all might suggest).

So :

Collected total checks : $509.55
Less chair/umbrellas: $276.86
leaves : $232.69
damage reserve : $ 82.69
leave CM TIP : $ 150.00


If during the length of the swap, the reserve money is not needed/utilized, then that $82.69 will go as a final "thank you" to the CM's at the end of the swap.

If everyone is in agreement, that was my plan. If not, please let me know your thoughts.

tgan and dgaston.....the entire order was shipped in both your names at Nicole's recommendation. Shipping with this company appears to be quick, so I feel confident everything will be there for you upon your arrival. Tgan...since you get there first, just let them know there is another DIS'er arriving 2 days after you on Feb 15.

And, one more reminder.....there are many of us in the swap that check out the same day the next DIS'er checks in. Make arrangements please with those in front and behind you via PM's about the specific times the chairs will be returned to Bell Services. For example, Samamit is right before me on the list, but he is way before me so it won't be an issue when I pick up the chairs. But pinktales arrives the day I leave, so I will communicate with them as to when the chairs will be returned.


For those who have not ever been to VB, the Bell Service desk/room is in the lobby, and to the left of the front desk if you are looking straight at the desk (near elevators). This is where you go to pick up the chairs/umbrellas.....not the front desk. I think only tgan and dgaston may have to inquire at the front desk since you both are the initial swappers. Last swap, the chairs and umbrellas remained in your room for the duration of your stay. So we are not constantly going back and forth on a daily basis picking up and returning chairs. Don't think the CM's will appreciate that.

Just a thought about taking care of the stuff - we always rinse / hose off our beach chairs when we're done with them to get the salt water & sand off of them. The salt can be very damaging and this helps keep them from rusting. Then we just set them outside for an hour or so to dry. It really does help them last to just take an extra 5 minutes to care for them. I'm sure there must be an outdoor shower there by the pool / beach that could be used for this??!!

Yes, there are a couple showers at VB right as you come up from the beach, that work great for getting the sand off the chairs. :beach:

Yep...as dort mentioned there are and this is a great idea with rinsing off the chairs Anal Annie. Glad u had fun skiing too ! I'm not much for winter sports---I like to hibernate indoors when it's cold....lol But I'm much more active in the warm weather !

I hear ya. Family went to one of the mountains here in PA for skiing and tubing last winter. I played for about an hour....then retreated to the lodge for those beverages. There was no fire at this lodge, so I just sat in their little cafeteria style restaurant and read a book. This was a no frills kind of place. If I went away to a proper resort, I'd be doing spa treatments or something while everyone else did their tubing, skiing......

You take them back with you to your room/villa. We use the chairs on our OVIR balcony, as they are sooooo much more comfortable than the plastic ones! :goodvibes

As BWV Dreamin mentioned....yes, the chairs/umbrellas are to be kept in your villas please. If we all returned them back and forth to Bell Services every day, I think the CM's would not be happy.

Unfortunately, I have to tell anyone who has asked, that the swap is officially closed. I have faxed the CM's at VB the final list last month and they let me know that any last minute changes would cause confusion for their staff. So I am very sorry for those who were unable to get in on the swap. I wish you all a nice visit to VB.

Yes the chairs are very nice and the umbrella is a nice rainbow of colors -- kinda windy, so we only used the umbrella once. I can vouch that the cup holder works very well. I have a pic to post. CMs could not have been nicer, and I hope Jumpforjoy gets them easily. We left their family name, and even told them they were coming in from Ontario!

We were in OVIR 2409 -- great view of ocean on the balcony, and a side view of the pool! Couldn't have had a nicer intro to Vero -- in fact it was maybe one of the best DVC rooms we've had. Well once we had the dedicated 1 br standard view NEXT to the end of the hallways xx23 at BWV. Also a nice room and loooong balcony.

We're in Orlando now -- not doing parks this time, but maybe hitting outlets and maybe Texas de Brazil if I find my birthday coupon.

Best Vero Beach wishes to all!

Thanks, Debbie! Transition couldn't have been smoother. We used the chairs for the first time today (I'll try and post a photo,too). Like you said, it was a bit windy, so the umbrella blew over once....but DH just dug it deeper into the sand and we were fine. :beach:

We are loving Vero Beach so far! It is so nice and relaxing and everyone is SO nice. We are 2 doors down from the Green Cabin Room, fabulous view of the beach - it's all just amazing. DD loved the breakfast with Goofy and the Smores at the campfire last night! There's a lot going on all the time, yet there's still plenty of time to relax and just do nothing, if you like! BTW, they have the NEW refillable mugs here!!!

Thanks again to Maria for organizing the chair swap - it is the best thing ever!

We are definitely getting ref. mugs in October. You can refill at the soda counter at Bleachers, which is the fast food CS by the pool.

Yes, we are about 30 miles southwest of Downtown Chicago. We probably had 4" of snow here. They typically clear the snow quickly, so it really wasn't an issue. We had been planning to drive to Milwaukee to visit our son & wife for the day and decided against that. Ended up going to the Edvard Munch exhibit at the Art Institute. That was one guy who sure could have used some modern-day meds!

As well, I believe they are still selling the old mugs at Bleachers, so if you want the new mug, you have to go to the Island Grove Packing Co. They have them behind the counter so you have to ask for them; DH stumbled upon them quite accidentally cuz when he went to buy it, Bleachers was closed!

As for the WiFi, we are able to access it from our room due to our proximity to the Green Cabin Room and lobby.

As you can see, it's another beautiful day at Vero Beach. We are checking out tomorrow :sad2: so we will make the best of today. It's supposed to hit 80 degrees so we are very excited.

Kritter, I am very sorry. I faxed the final list to the VB CM's back in Jan. I've had about 5-6 people ask me to add on. It would have been too impossible to continually add on people all year. The CM 's made it clear that they would not like that too, as it causes too much confusion for the staff. So I am very sorry to have to tell you that I do not have the ability to add anyone else on to the master list which was faxed to the resort.

Oh I totally understand I did the swap last year and this trip was very last minute... So I understand...

Hi Lorelai! Yes, we had a great time at Vero Beach! Some days, the water was quite rough. My DH was waist high in the water and was knocked over by waves that went over his head! But at other times, it was relatively calm, so you never know. Have fun in August!

Looking at the schedule, the poor lonely chairs and umbrellas are currently sitting in the VB Bell Services Storage room. :sad2:
