View Full Version : CRO Cancelled Our Reservation! *Update*

I am in shock!!! :eek: I have never been so upset in my whole life!!! :(
DH and I were sitting here talking about our reservation at AKL. We thought we'd call CRO and see how much it would cost to upgrade to Savannah view (our reservation was for standard).
So I call CRO and they say, "I'm sorry, your reservation was cancelled on March 30". :eek: :eek: :eek: I thought I was going to pass out. I told her that the CM I spoke with said I could send a check for the deposit, and that it needed to be received by April 11th. I had all the information written down... the date... time... mailing address... etc. She says she can't help me, so I asked to be connected to a supervisor.
I was then connected to Estelle. She basically says that they can't do anything about it and our only option is to book Savannah view for $293 MORE than our standard room. Well, I explain to her that we can't afford to pay that much more.... and I asked her if she can get us ANYTHING at ANY resort for the amount of our cancelled reservation. She says "no".
I can't believe that???? :confused: They cancelled our reservation and they can't get us anything else??? I really don't feel I was at fault... I wrote down the exact directions for how to make the deposit by check, and now my family is being punished. :( I am so sad you guys. :( My son is going to be so upset if we don't go. :( I guess we have to stay off property now. :( How can this be happening???? We go to Disney all the time, is this the way we should be treated???? Can't they give us a room somewhere else without charging us more?? I KNOW there are rooms at several other resorts because I called and checked. :( What are we going to do???????

Oh my goodness, I am so sorry. I would call tomorrow and insist on speaking with the top supervisor at CRO. It that does not work then I would go higher. I am very surprised that they would not find you anything else. Please don't give up and let us know what happens.

Take a deep breath! Call again and talk to a different CM and if that dosen't work....a different supervisor. :) There has to be someone there that can help you!!!.

Try not to panic. Send an email tonight. Give them all of the details, dates, etc. We've had it happen before, but everything worked out to our satisfaction. You will get a call back! :)

CALL BACK! Speak to a manager. Politely ask if they anything available...also ask about the current discounts...ie. AP or AAA or American Express.
They should come up with something! ;)
We are going in June. Last Sunday I called to check on any other discounts.....to make a long story short.....
I was offered CSR at the AmerEx rate. I wasn't sure about it. So the CRO ask if I wanted a "14 day courtesy hold" I had never head of anyone using this term. I did get a confirmation #, and expect to get a confirmation paper in the mail. But I have to call back within those 14 days to confirm it. She said they take all Credit cards over the phone now.
Don't know if this helps any, but maybe that is what happened???
But definitely CALL BACK!! ;)

I just made the reservation last week. I carefully wrote down all the instructions for paying the deposit by check and the CM told me it needed to be received by April 11th.
No other discounts are as good as the one we had. We checked DC, but it's only 10% for our dates. :(

If I was you I would keep calling and not stop until you get a room at AKL at the price you were quoted. Be firm and polite and keep working your way up.
Just because the room they quoted you is no longer available does not mean they can't or won't give you a better room at that same price. Be patient...be persistent...be polite and keep asking them the obvious and simple questions such as "I reserved a room at this price, it was cancelled without my knowledge, and now there are no rooms available at the price I was quoted? How can that be? "
They can give you the presidential suite for $25 bucks if they wanted to! Just keep trying until you find someone who wants to help and don't stop trying until you get what you need.

Definitely call back, and make sure that you have all the important information in front of you, like ressie number, day booked, and date deposit was due. Ask to speak to a supervisor, and if they can't help you, tell them that that is unacceptable to you, and ask to speak to someone else in even higher authority.
Make it clear in no uncertain terms that this is their error, and not yours, and that they should make good for it. If that still doesn't work, send an email. You could also try calling the resort itself. One year when we couldn't get any discounts at the YC, even the AAA discount, I called the manager, and finally got in touch with someone who said they would honor the AAA discount when we checked in. (Fortunately, an AP discount became available.)

Did the CM say why the reservation was canceled? Have you tried the Swan and Dolphin? They have 50% AP rates. www.expedia.com is showing the Dolphin or $199 for the night of April 10 (not sure of your dates).
Annual Passholder (CFQ) rates start April 21.

reveric -- That is what I told them. I said they have the capability of making thier mistake correct by extending to us a different room at the original rate we reserved. I said this to Estelle numerous times, and repeatedly her answer was she couldn't help me. I asked to speak with someone else and she told me there was no one else there at that time who had more authority. At least five times I made the remark that if there were rooms availalbe, then the possibility exists that I could have one of those rooms at my original rate. Again, she told me she couldn't help me. She was VERY un-Disney!
Cali-D -- It was cancelled because they said a deposit was not received. But I was told I had until April 11. Yes, they do have other discounted rates at other esorts, but they are at a considerably higher rate than what we had at AKL.

gepetto -- They would not give us a standard room at any price. AKL is booked for the standard category. Of course, they would of let us book a higher category for a higher price. But we want the standard room we reserved at the price we reserved!

Maybe this will help. I have never ever in my entire life paid for the deposit at the time of booking. It is my understanding that every ressie has a 14 day courtesy hold (10 for DC I believe). If you have a confirmation number you should be okay. This happened to me last year when we added a day to out 7 day land/sea package. We decided to come down a day early and they "lost" our $49 for one night All Star ressie. After calling several times I finally got someone who could help me. It definitely helped that I had the confirmation number with the date of my original ressie. I got my ressie back. We even asked for a room as close to the parking lot as possible and ended up with a poolside room in a Calypso building right next to the food court. We wanted the parking lot view since we were there only for the night until we could check into the Comtemporary. Keep trying.
And by the way, thanks for the reply to my post about deciding between BWV and BVC. I think I am leaning toward BCV so it looks like we may be neighbors. It will be just DH and I travelling and we cannot wait!

ubetiski -- I was told last week, when I made the reservation, that I had until April 11th to make the deposit. The problem is they cancelled my reservation BEFORE April 11th. Even if I would have sent the check immediately after calling CRO they wouldn't have had it by March 30th (the day they cancelled my reservation).
Basically what they are telling me is that I was NOT allowed to pay the deposit by check. Which totally contradicts what the CM told me on the phone last week. If he told me I had to give a credit card deposit then I would have, but he said a check was fine..... as long as it was received by April 11th.

CTPacky - I was planning to mail the check tomorrow (pay day). That would give the check 7 days to reach them... which I thought would be enough. Good thing I called today because the check would have been for nothing since they cancelled my reservation on March 30.

were you holding more than one reservation? I had that happen to me when we had more than one but we were able to get ours back.
Whenever I have a problem at a company and can't get a satisfactory answer at night. I always call during the day because most of the supervisors that have authority (and seniority) don't usually work nights.
Try that tomorrow.

I would definitely try again. My experience is always different with each cast member. I can definitely understand your frustration. There seems to be a lot of confusion in CRO lately. I think you will be okay if you can reach the right person. I sure wish I could make it all better for you. I wish you the best of luck!!!

We just recently made our reservations through CRO and we too were told that we had 14 days to pay by check. We were also told NOT to mail them the check until we got a statement from them in the mail. The CM told me that was how they were handling it now since another company is handling it. 7 days from the day we made our reservations we recieved the statement in the mail, and returned our check for one nights deposit. With your reservation number I would think if you were real persistent they have to honor that rate.

sassafrass - We made the reservation March 27, for an April 28 arrival.
Call back and speak with someone else. I did this with Delta and got what I needed and the first person and supervisor said there was nothing they could do. When I called back as soon as I hung up P got all the help I needed and the person did for me what the other person said couldn't be done. Michelle

Then why did they cancel the reservation so soon? Normally when a reservation is made this close to arrival they ask for a CC# to hold it until your arrival or your deposit is made. Sounds like A MISTAKE ON THEIR PART.

sassafrass -- You are right! :) If a person makes a reservation within 30 days of arrival they are required to make a deposit by credit card. I've heard that rule before. However, I made this reservation 31 days prior to arrival. That is why the CM told me a check would be OK.
The supervisor I spoke with today said that the CM I booked my reservation with was wrong and that he would be "dealt with". :eek: I think SHE is the one who is wrong and I sure hope the CM doesn't get in trouble for it.

I would call during the day. Your more experienced supervisors probably work the day shift. Be polite, but keep asking for the next level. The supervisors have a supervisor and so on. (I have been known to complain all the way to the President of American Express) However, no matter how upset you are try not to lose your temper. They report to each other on how you are treating the last person. I always just say. "Thank you for your assistance. However, this is not a satisfactory response, may I speak to your supervisor?"

If your original CM did make a mistake, it is still DISNEY'S mistake & they should make things right for you. To admit that it was their fault, rather than yours, but still not fix it is terrible customer service!
I know you feel he did not make a mistake, but if that is their explaination for the ressie being cancelled, then they should make good on their error.

Gillian - I totally agree with you! :) She admitted fault but then said her hands were tied. I didn't believe that for one second... I called back and checked availability for our dates and they had AKL savannah view, WL courtyard view, BC standard and water views, Poly garden view, and GF garden and water views. If we can't have our original room then they should give us a room somewhere else for the same price.

Here is another question for you. Did you reserve this room with a special code? Some of the codes expired on March 30th and even though the agent said that the deposit date was ? it really needed to have a deposit on the last day that the code was offered. I just ran into that tonight when I checked on something.

I think it's still CRO's fault even if they did need the deposit by March 30th because the CM told me to send a check by April 11th.

Oh Erica I truly feel for you. I had a similar problem about 1 1/2 years ago. I kept that poor CM who discovered it on the phone for about 45 minutes. He kept talking to different supervisors for me until he finally got one who would agree that the mistake was not mine, but the original CM who booked the room, and agreed to let us have the room at the original resort, at the original price. Just be persistant, but polite. I think things will work out for you. I see lots of things here. First, I've been trying to get a reservation for April 26 & 27 at AKL & I have a friend in management at AKL. I heard from them and unfortuneately, AKL is sold out, except for possibly concierge at this time. This doesn't mean some emergency rooms aren't still available (they always are) but you ARE dealing with what they consider a "sold out" period.
Now, your trump card is that you did no wrong. Your best recourse is to continue calling while being polite. If you're too aggresive or adamant you'll get nowhere. Also, don't appear to be asking for an upgrade - even though they may HAVE to do this to settle this matter, if they think you are in some way scamming them for an upgrade you'll be shut down very quickly...So, be polite, state the facts & offer to take less (even though you know there is nothing less).
Lastly, perhaps you should contact the Manager of the Resort, Norm Noble & briefly explain your problem. Even though they don't deal with reservations this far out at the Resort, it is his Resort's reputation on the line...

Don't give up! Speak to a supervisor or try calling the manager of the AKL. Several years ago we made a last minute trip and had reservations at the WL through SOG.
Since the trip was only a coupla weeks away, we were told not to send money, the reservation was made and we would have to pay on arrival. Well, we arrived and found out we had no where to stay! CRO had cancelled the reservation. They said SOG "told you wrong". A deposit needed to be made at the time of the reservation.
There we were, tired, kids excited and no room. Plus a marathon was scheduled that weekend and there were no rooms at WL.
I asked for a manager. She came right out and listened to my tale of woe then got on the phone and got us a 2BDR villa at BW for $250./night. We had originally booked 2 rooms at WL for $125./night each.
The manager bent over backwards to help and this was in no way her fault!
Our vacation turned out wonderful! Keep moving up the chain of command.

Well, I sent an email to guest relations last night explaining everything that happened. At 9:00am I'm going to call again and see if anyone can help us. :(
I know AKL is not sold out because I called this morning and they had pool view and savannah view available for our dates. (4/28-5/2) Along with availability at EVERY other deluxe resort except the Contemporary. :eek:
Wish me luck and lots of *~*~*Pixie Dust*~*~* today. I'm going to try and be calm and positive... even though I'm a nervous wreck. I just can't look my son in the face and tell him we aren't going. He'll be devestated. :(

I thought the rule wasn't that you had to call to make the reservation more than 30 days before arrival, BUT that they had to have the deposit in hand by 30 days before arrival.
In ANY case, as has been said by others, none of that matters - if the first CM didn't explain that to you (or didn't understand it himself) that is still Disney's mistake and something that they need to make right.

I can't believe this is happening! It is 9:10 am , so I'm sure you will update us soon! Unbelievable. The CM's should have all these policies in front of them or memorized . I'm sure if the CM would have said that you had to pay by CC over the phone, you would have done so. If you would have said "no" to that, then they would have said something like" that's our policy when booking 30 days from arrival". Since this was never talked about, it's THEIR fault and disney must make it right for you!

I know that I *almost* had to tell my own son we weren't going, because I couldn't get a room once, when something happened... and it all worked out. Thank God. I just know how that hit you.

I was looking through this whole post to see when your dates were, I was hoping they were the same as ours and I would offer to help, I have an unbeleivable rate at AKL for 4/25 - 4/30, just last week my mom asked if she could go to so I called and added on a second room to our reservation and they gave me the same rate, If you were going at the same time I was going to offer to call and try and add on a third room, but I see you are arriving on 4/28. Hopefully, you won't need any help and you can just get this taken care of. Good luck, please up date us.

UPDATE!!
I have been on the phone all morning. :eek: Thanks so much for all the PM's... I called several of the phone #'s that you guys gave me but still had no luck. :( Basically everyone at guest relations that I spoke with said they had no control over what happens at CRO. They couldn't check my reservation, make changes to it, reinstate it, nothing. :( I felt like crying. :(
This is when my luck starts to change!!! :)
Someone posted on the DVC rent/trade board this morning that they had points to rent for $5.00/point. :) Luckily I was able to email him right away and get his phone number (in Hong Kong!). :eek: He was a super nice!!!! :) :) I was able to rent the points from him for the dates of our trip!!!!!!!! :) :) AND the best news of all... we have a 2 bedroom villa at OKW for 4 nights!!!!
WE ARE GOING TO DISNEY WORLD!!!!!!!!!!!! :D :D
I am the happiest person in the world right now!!!!! :) :) I'm just so glad we are going, no thanks to CRO :(!!! I still want to write a letter and complain about them cancelling my ressie. :( But for now I'm just enjoying myself!!!! :) :) :)

I'm so glad everything worked out for you! I was truely in tears for you because I know how hard you work to plan these things out. I still would not let that CRO mistake go without really getting attention. Copy all of your notes etc. and mail them with a huge complaint. This is not a little inconvienience and you are not a one time customer!!
Enjoy the villa and really why on earth haven't you bought into DVC yet?

Our January trip I also paid deposit by cheque. They told me not to send until I received confirmation in mail. At eight days (it was DC so I had 10 days) I called to say I hadn't received it yet they told me they extended my date. On the 11th day I called back still didn't have confirmation. Ended up I didn't get confirm until day 17 and then I sent cheque. Everything was fine with res, I'll be very surprised if they don't correct the problem as it sounds like it was their mistake.

It's amazing that we got a 2 bedroom villa for almost the exact same price as our standard view room at AKL. :eek: DH called his brother to tell him the good news and he doesn't even believe us! :p It really is too good to be true. :)
Thanks again to everyone here at the DIS who offered support during my breakdown last night. I still plan to send a complaint about our reservation being canceled. The next time I make a reservation I'm going to give a credit card for sure, even though a check is supposed to be OK. I just don't want to risk this happening again.

After you stay in the 2 bdrm you will join DVC, because you will never again want to stay in a regular room;) The 2 bdrms at OKW are the greatest. Sorry you had to go through all the stress but I'm so glad for your happy ending. Please post when you get back and let us know how the trip went. Have you ever stayed at OKW? If not, I think you'll be happily surprised :bounce:

I read that you made your reservation on 3/28 for 4/28 arrival and the ressie cxld on 3/30, right? I know that if the reservation is made within 30 days of travel that you must give a credit card to CHARGE the one nights deposit. CRO does not guarantee credit cards anymore. Your reservation was made 31 days out which means the deposit would be due by 3/29 and if not received by 3/29 it will cxl early the following morning, because 3/29 would be 30 days to arrival. Did you get a confirmation in the mail, yet? If it states that the deposit was due 4/11, then you may want to speak with guest services and send them a copy of the confirmation.
I just know this information from past expeirence!

That is great news! I'm so glad things have worked out for you. We are at OKW pretty much the same time as you guys and this will be our first stay in OKW. Also have the 2BDR villa, the pictures look fabulous.
What I am sorry to hear about is the lack of help from the Disney folks. It seems more and more we are hearing stories about the quality of customer service slipping. This is truly a shame since they have been thought of by many to set the gold standard in this area. :(

So VERY GLAD it worked out for you.
I had my CRO woes some time ago I griped about. Disney supervisors will verbally sympathize and say they are wrong. But they won't honor what guests are originally told, even if you have written proof to back it up, as I did.
CRO has no honor as far as I am concerned. I would not go to WDW before I call them again.:p
I wrote the NE Atty General's office about my experience and they requested I file a formal complaint so they could investigate, as what happened between me/CRO was wrong on their end, legally and ethically.
I ended up talking to several Disney heads who did no more than apololgize and vow to speak to dept heads over my situation. And as long as CRO corrects their errors to avoid future troubles with others, that's all I really wanted.
But I wouldn't hold my breathe that anything has changed. I don't trust CRO, and for good reasons.

You know the funniest thing? I left 3 voice mail messages for 3 different people in guest relations, 2 emails to guest communications, 1 message for a supervisor at CRO, and also a message with someone's receptionist at the executive office's and I haven't heard anything back from any of them! :eek: Good thing I rented points or I'd still be sitting here without a reservation.

UPDATE AGAIN!!! (Thanks to the search feature coming back) ;)
Just thought everyone would like to know that 3 months have gone by and I still haven't received a response from ANY of the voice mail messages I left or e-mails I sent! Isn't that unbelievable??? You'd think they would have at least sent a form letter or something?? :rolleyes:

I'm sure if they had tried to contact you they would have tried to before you actually went down there.
Is there a chance they could have and not been able to reach you?? Then once your "date" arrived and went, they may not have felt it would do any good.:confused:
I know when I emailed them, they DID try to call. I was not home, so they left a message. It was almost 4 weeks later when they tried again and I was home.
So maybe the time-frame being so tight.....
Anyway, How was your stay???:D We love OKW!!!
And how are you plans going for your Oct trip?? :D

Well, I check my email several times a day so I would have definitely noticed if someone replied. As far as the voice mail messages I left my name, phone #, and a brief explanation of what happened. I also left a message with someone's secretary, that was also not returned. I am usually home all day, and if I'm not I have voice mail.
You would think that after spending so much money at WDW resorts they would care enough to say *something*.
OKW was awesome! :D The 2 bedroom villa was just perfect and we loved it so much we're doing it again. ;) We also might be adding a few more days to our trip, so we might resort hop over to BWI, WL, or GF. ;) I can't wait!!!!!!!! :D
